About the Position

Star Sleep & Wellness is growing! We are looking for a full-time Regional Patient Administration Manager at our Dallas location. Our Patient Administration team is the first impression for our patients. We prioritize a friendly demeanor and excellent customer service to ensure every patient has a positive first impression and experience. Medical experience isn't required; we prioritize excellent customer service, attention to detail, and a passion for learning new technology.

Key Responsibilities

  • Lead, mentor, and support Front Desk teams across assigned locations, fostering a culture of accountability, collaboration, and exceptional patient service.
  • Conduct regular 1:1 meetings, coaching sessions, and performance follow-ups to promote employee development, address concerns, and reinforce performance expectations.
  • Ensure a consistent, high-quality patient experience across all locations by monitoring service standards, addressing patient concerns, and identifying opportunities for improvement.
  • Partner with clinic leadership and cross-functional departments to identify workflow inefficiencies, communication gaps, and operational challenges, developing sustainable solutions to improve outcomes.
  • Drive consistent implementation and adoption of new processes, policies, and SOP updates, providing training, guidance, and follow-up to ensure adherence.
  • Monitor front office operations, staffing coverage, and scheduling practices to support efficient clinic workflows and patient access.
  • Analyze key performance indicators, trends, and operational metrics to identify opportunities for process improvement and increased team effectiveness.
  • Support change management initiatives by communicating expectations, reinforcing organizational priorities, and helping teams navigate operational changes successfully.
  • Serve as a point of escalation for complex patient service issues, employee concerns, and operational barriers, ensuring timely resolution and appropriate follow-through.
  • Collaborate with hiring and training efforts, assisting with onboarding, development, and retention of Front Desk team members across the region.

Qualifications:

  • Leadership or management experience, with a proven ability to lead, develop, and hold teams accountable to performance, service, and operational standards.
  • Demonstrated experience overseeing multiple locations, departments, or teams simultaneously, with the ability to prioritize competing demands, drive consistency, and maintain operational excellence across diverse environments.
  • Proven ability to manage employee performance through coaching, mentoring, performance management, and ongoing professional development.
  • Strong conflict resolution and problem-solving skills, with the ability to navigate sensitive employee, patient, and operational issues effectively.
  • Experience implementing and reinforcing processes, policies, and standard operating procedures across multiple teams or locations.
  • Ability to identify workflow gaps, operational inefficiencies, and cross-functional challenges, then develop and implement effective solutions.
  • Strong interpersonal and communication skills, with the ability to build relationships and collaborate effectively with leadership, providers, and support teams
