We are a non-denominational, coeducational Christ-centered school in NE Albuquerque, serving families of children from preschool to high school. Since its founding in 1976, Hope Christian School has prayed for, equipped, and sent nearly 3,000 graduates to change the world. Annually, Hope Christian School educates approximately 1,400 students from Preschool through 12th grade. Terms: Full Time, 9-Months

Job Summary: The High School Administrative Assistant serves as the primary front-facing representative of the High School office and provides consistent reception, attendance, student, family, and administrative support throughout the school day.

This position is responsible for creating a welcoming, professional, organized, and service-oriented environment for students, families, staff, and visitors. Primary responsibilities include answering phones, greeting and assisting visitors, managing student attendance and check-in/check-out procedures, responding to routine questions, facilitating communication, and appropriately directing individuals who need assistance from High School administration.

Because this position serves as the primary point of entry to the High School administration office, the High School Administrative Assistant must demonstrate exceptional professionalism, hospitality, discretion, communication skills, and sound judgment.

The High School Administrative Assistant reports directly to the High School Principal and receives day-to-day work coordination, guidance, and delegated assignments from the High School Office Lead.

Essential Functions:

Front Desk & Reception

  • Serve as the primary front desk presence for the High School office throughout the school day.
  • Greet students, parents, staff, volunteers, and visitors in a professional, welcoming, and courteous manner.
  • Answer incoming telephone calls promptly and professionally.
  • Respond to routine questions, take accurate messages, and direct calls and inquiries to the appropriate individual or department.
  • Assist students with general questions, office needs, and school procedures.
  • Serve as a primary point of contact for High School families.
  • Receive and distribute deliveries, correspondence, forms, and materials.
  • Maintain a professional, organized, and welcoming reception area.

Administrative Gatekeeping & Communication

  • Serve as the initial point of contact for individuals requesting assistance from the High School Principal, Dean of Students, or other members of High School administration.
  • Determine the nature and urgency of requests and appropriately direct questions, concerns, appointments, and visitors.
  • Protect administrators' instructional and administrative time by resolving routine questions when appropriate and directing matters to the appropriate staff member.
  • Communicate professionally and respectfully with students, families, faculty, staff, and visitors.
  • Maintain discretion and confidentiality when receiving sensitive student, family, or personnel information.
  • Assist with scheduling appointments and communicating messages to administration.

Attendance & Student Check-In/Check-Out

  • Maintain primary responsibility for daily High School attendance processes.
  • Monitor and accurately document student absences, tardies, early dismissals, and attendance-related information.
  • Manage student check-in and check-out procedures in accordance with school policies.
  • Review attendance information for accuracy and follow established procedures for correcting discrepancies.
  • Communicate with teachers regarding attendance discrepancies and missing or incomplete attendance information.
  • Communicate with students and families regarding routine attendance matters.
  • Maintain accurate attendance documentation and records.
  • Refer attendance patterns or concerns requiring administrative intervention to the appropriate administrator.

Office & Administrative Support

  • Assist with daily announcements, communications, copying, filing, mailings, and other clerical responsibilities.
  • Maintain student and school records as assigned.
  • Assist with office supplies, forms, and organizational needs.
  • Support meetings, testing, school activities, and special events as needed.
  • Complete administrative and clerical responsibilities delegated by the High School Office Lead or assigned by the High School Principal.
  • Coordinate with the High School Office Lead regarding assigned priorities, deadlines, and routine workload needs.
  • Work collaboratively with the High School Office Manager and High School Office Lead to maintain continuity of office operations.
  • Provide administrative and campus support as assigned.

  • Maintain confidentiality and handle sensitive information with discretion and in accordance with school policies and applicable laws.
  • Follow all school policies, procedures, directives, safety protocols, and expectations established by administration.
  • Assist with emergency procedures and campus operations as assigned.
  • Demonstrate professionalism, reliability, punctuality, flexibility, integrity, and sound judgment.
  • Perform additional duties and responsibilities as assigned by the High School Principal in support of the school's mission and operational needs.
Requirements:
  • Have received Jesus Christ as Savior and Lord.
  • Believe that the Bible is God's Word and the standard for faith and daily living.
  • Agree with and support the School's Mission Statement, Statement of Faith, and Philosophy of Education.
  • High school diploma or equivalent required; additional education or administrative training preferred.
  • Prior receptionist, administrative, school-office, customer-service, or attendance experience preferred.
  • Exceptional interpersonal and customer-service skills with the ability to provide professional and gracious service in a high-traffic environment.
  • Strong attention to detail and demonstrated ability to enter and maintain accurate attendance and student information.
  • Strong verbal and written communication skills.
  • Ability to handle multiple interruptions and competing priorities while remaining professional, organized, and composed.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive student, family, and personnel matters.
  • Proficiency with student information systems, Google Workspace, Microsoft Office, telephone systems, and general office technology, or demonstrated ability to learn applicable systems.
  • Demonstrated reliability, punctuality, flexibility, collaboration, and commitment to serving students and families.
