Job Description

Every day, millions of vehicle owners depend on dealership service departments to keep them on the road. We build the software that helps those service teams communicate with customers, schedule repairs, approve work, collect payments, and deliver a better experience from start to finish.

myKaarma is a leading SaaS platform serving dealerships across North America. Headquartered in Long Beach, California, with a global team, we're growing by solving real operational problems with practical technology.

We believe the best ideas come from people who take ownership, question how things can be improved, and care deeply about the customer experience. If you're excited to build products that have measurable impact, we'd love to meet you.

About the Role

Own the day-to-day people operations that help our US and Canadian employees work with confidence. You’ll manage and improve payroll review, benefits administration, employee lifecycle workflows, HR systems and policy administration. Much of our infrastructure is established. Your job is to make it reliable, easy to use, and consistently maintained; identify gaps, improve workflows, and help employees get more value from the resources available to them.

Key Responsibilities:

  • Own onboarding and offboarding operations, including accurate records, required documentation, system workflows and coordination with IT, managers and other partners.
  • Administer employee benefits, including enrollments, changes, eligibility records and employee questions. Coordinate with brokers and providers to resolve issues.
  • Review payroll inputs and outputs for accuracy, investigate discrepancies and coordinate corrections before deadlines.
  • Manage recurring HR compliance reviews, audits and required reporting, including FLSA classification, minimum wage, California pay data reporting, EEO-1 and Form 5500 coordination, as applicable. Track deadlines, identify gaps and coordinate corrective actions and filings with leadership and external specialists.
  • Maintain policies, acknowledgments and employee-facing guidance; coordinate updates as requirements or company practices change.
  • Maintain and optimize Rippling workflows, employee data, reporting and system controls. Reduce manual work and catch errors before they affect employees.
  • Make information easy to find and understand through clear documentation, practical guidance and useful benefits tips.
  • Keep the leadership informed through concise updates, early issue escalation and recommendations that explain options and trade-offs.
  • Coordinate routine workplace access and administration, including badges and related employee logistics.

Required Skills and Qualifications:

  • Hands-on experience independently managing HR operations across payroll review, benefits administration and employee lifecycle processes.
  • Working knowledge of US wage-and-hour requirements, including FLSA classifications and minimum-wage compliance, with sound judgment about when to seek specialist advice.
  • Experience administering an HRIS and improving workflows, data accuracy and documentation.
  • Strong attention to detail, reliable follow-through and the ability to manage recurring deadlines without reminders.
  • Proactive communication: you surface issues early, recommend a path forward and close the loop.
  • Ability to explain policies and processes clearly and handle sensitive employee information with discretion.
  • Ability to work onsite two days per week in Long Beach or Pittsburgh.

Nice to Have Skills & Qualifications

  • Bachelor's degree in Human Resources, Business, or a related field, or equivalent experience.
  • Experience supporting California-based employees or a workforce operating across multiple jurisdictions.
  • Familiarity with Rippling, Leapsome, or comparable HR and talent-management platforms.
  • PHR, SHRM-CP, or another relevant HR certification.
  • Experience creating employee self-service resources and benefits education.
  • Experience coordinating workplace access or office administration.

What to expect in the interview process

Our interviews may include questions that are not traditionally associated with People Operations. These help us understand how you approach problems, improve systems and prevent recurring errors.

For example: A production team discovers that a small number of finished products are consistently labeled incorrectly. Their proposed solution is to have someone manually inspect every product before it ships. How would you evaluate that solution, and what alternatives would you explore?

  • A strong response might investigate where and why the errors occur, build quality controls earlier in the process, automate repeatable checks and reserve manual review for true exceptions. We look for people who do more than follow an existing process or add another checklist—we want someone who makes the work simpler, more reliable and easier to maintain.

We know great candidates don't always match every requirement. If this role excites you and your experience aligns with many of the qualifications, we'd encourage you to apply. Skills can be learned—we also value curiosity, ownership, and a willingness to grow.
