Full-Time Office Manager

(Job #: 47 - 030926)

Compensation: $23.84–$28.04/hour plus vacation pay; generous paid time off, including 3 weeks’ vacation; employer-matched RSP; comprehensive health and dental benefits following completion of the probationary period

Site: Central Administration
Location: London, ON
Schedule: 40 hrs/week; primarily on-site with flexibility as operationally required. Occasional on-call responsibilities related to facilities or security systems

About the Role:

The Office Manager plays a pivotal role in ensuring the smooth and efficient operation of the office environment within our organization. This position is responsible for overseeing daily administrative functions, managing office resources, and supporting financial processes such as accounts payable and bookkeeping. The Office Manager will coordinate appointment scheduling and maintain accurate records to facilitate seamless communication and workflow. By implementing effective office management practices, this role contributes to a productive and organized workplace that supports the broader goals of the company. Ultimately, the Office Manager acts as a central point of contact for office-related matters, fostering a professional and well-structured environment.

Minimum Qualifications:

  • Proven experience in office management or a related administrative role.
  • Proficiency in bookkeeping and accounts payable processes.
  • Experience using QuickBooks or similar accounting software.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication skills, both written and verbal.

Preferred Qualifications:

  • Post-secondary education in business administration, accounting, or a related field.
  • Experience working in a Canadian office environment and familiarity with local regulations.
  • Advanced proficiency in Microsoft Office Suite and other office management tools.
  • Demonstrated ability to lead and improve office systems and processes.
  • Knowledge of records management best practices and compliance standards.

Responsibilities:

  • Manage and oversee daily office operations to ensure efficiency and organization.
  • Handle accounts payable processes, including invoice verification, payment scheduling, and record keeping.
  • Maintain accurate bookkeeping records using QuickBooks and other financial software.
  • Coordinate appointment scheduling and manage calendars for staff and management.
  • Organize and maintain physical and digital records to ensure easy retrieval and compliance with company policies.
  • Support general office duties such as ordering supplies, managing correspondence, and liaising with vendors.
  • Implement and improve office procedures and policies to enhance operational effectiveness.
  • Serve as the primary point of contact for office-related inquiries and issues.
