Job Description
- The Executive Assistant serves as a key direct report to the Executive Director and provides high-level administrative and operational support to executive management leadership and the Board of Directors. The position handles sensitive and highly confidential information and must secure proper distribution as well as safeguarding the information This role requires strong project management and analytical skills, sound judgment, ability to operate independently and with a high level of discretion and professionalism. It requires the ability to anticipate needs, manage competing priorities, and adapt quickly to changing demands. As Executive Assistant it requires the ability to organize, manage and prioritize work on a daily basis to assure compliance with deadlines and to effectively manage workflow This role requires exceptional professionalism, discretion, and attention to detail. The Executive Administrative Assistant is entrusted to manage sensitive information, support board governance processes, and represent the CEO with internal and external stakeholders.
Executive Support to the Executive Director:
- Service as the primary administrative support to the executive director, managing complex calendars, priorities, and executive correspondence.
- Anticipate executive needs and proactively resolve scheduling or logistical conflicts.
- Prepares executive briefing materials, reports, and presentations.
- Act as a liaison between the CEO and senior leadership, board members, and external partners.
Board of Directors Support:
- Coordinate all logistics for Board of Directors and committee meetings.
- Prepare, post, and distribute board meeting agendas and supporting materials in accordance with governance timelines.
- Accurately take, draft, and finalize official board meeting minutes.
- Ensure proper documentation, retention, and compliance with organizational and legal requirements.
- Support board communications and follow-up on tasks following meetings.
Administrative & Organizational Support:
- Manage confidential and sensitive information with the highest level of discretion.
- Maintain organized electronic and physical filing systems.
- Assist with special projects and executive initiatives.
- Provide professional support for internal and external meetings, events, and travel arrangements.
Camino Real is a trauma-informed agency and all employees are responsible for engaging in the principles of trauma-informed care in their daily interactions. Occasional late hours may be required of this position.
Minimum Qualifications:
- High school diploma required with 10 years of directly related work experience providing administrative support to executives or leadership teams.
- or
- Bachelor's degree from an accredited college or university (required) in business administration, public health administration or related field.
- Minimum of four (4) years of proven experience providing executive-level administrative support.
- Documented work experience taking formal meeting minutes, preferable at the board or governance level.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms.
- Must have a valid driver's license with no major infractions, must pass a criminal background check.
Preferred Qualifications:
- Experience working with a Board of Directors in a nonprofit, public sector, healthcare, or corporate environment.
- Familiarity with governance best practices and record-keeping requirements.
- Strong project management and follow-through skills.
