Job Description

Scheduling Specialist

  • Position Summary
    • Maintain detailed schedules for assigned providers, inpatient and outpatient. Schedule all surgeries for those providers. Verify insurance benefits and obtain precerts, collect prepayments, have consents signed and instruct patients of pre and post surgery responsibilities. Communicate with surgery location and make sure all required equipment needed is at surgery location at correct time. Must handle laboratory specimens and prepare them for testing. Process and dispense durable medical equipment for patients. Provides patient education, explains treatment procedures, medications, and physician instructions to the patient. Assists in answering the phone, completing disability paperwork and tracking all medical paperwork for the physician to sign off on. This job requires efficient organization and a positive attitude.

    • High School Diploma of General Studies - Preferred
  • Experience
    • 1-2 Years Scheduling or a referral specialist - Required
  • License & Certification
    • None Required
  • Core Job Functions
    • Perform patient and provider scheduling activities according to SOPs to include but not be limited to clinic visits, referral visits, diagnostic and other treatment visits. Maintain clinical schedule to assure appropriate patient flow per medical staff's expectations and guidelines. Review daily authorization status with insurance representative for all patients coming to the service.
    • Performs pre-certification tasks when needed prior to services being rendered. Accurately updates and documents the referral in eClinical Works to include closing referral.
    • Works closely with others to accomplish project goals. Communication is effective and professional.
    • Accurate specimen requirements determined based on the reference laboratory requirements, maintaining proper specimen storage and stability. Referral lab manifest matched to available samples with any discrepancies noted and resolved. Queries from nursing personnel and other lab personnel are answered promptly or referred to appropriate person.
    • All controls will be run according to policy and procedure. All specimen collection will be done according to policy and procedure. All proficiency testing and quality control assurance will be done according to policy and procedure.
    • Patients receive thorough and accurate information concerning their condition and related procedures. Education materials are kept up to date and in adequate supply.
