You will serve as a strategic partner to senior leadership by managing executive operations and ensuring seamless coordination across priorities. Your responsibilities include:
- Oversee complex C-level calendars, manage meeting lifecycles, and ensure executives are fully prepared with relevant briefings and materials.
- Act as a central communication hub by filtering emails, calls, and requests while ensuring timely and accurate information flow across stakeholders.
- Handle sensitive administrative and operational tasks, including document management, confidentiality compliance, and coordination of approvals or signatures.
- Support client-facing communication by responding to inquiries and providing updates related to ongoing cases or operational matters.
- Lead end-to-end project management activities, including planning, milestone tracking, deadline enforcement, and cross-team accountability.
- Identify and implement workflow improvements using Google Workspace and project management tools to increase efficiency and clarity.
- Conduct structured research and synthesize findings into actionable insights to support strategic and operational decision-making.
This role requires a highly organized and adaptable professional with strong operational and coordination capabilities:
- Minimum 3+ years of experience as an Executive Assistant, Project Manager, or in a similar operational support role.
- Strong ability to manage multiple priorities, track deadlines, and drive execution across parallel projects and tasks.
- Advanced proficiency in Google Workspace, with the ability to quickly adopt CRM systems, AI tools, and platforms such as Asana, Monday, or ClickUp.
- Excellent written and verbal communication skills, with the ability to tailor messaging for different audiences, including senior executives.
- Highly detail-oriented, process-driven, and proactive in anticipating needs and solving problems before they escalate.
- Strong adaptability with the ability to shift between administrative, strategic, and operational responsibilities seamlessly.
- High level of discretion and reliability when handling confidential and sensitive business information.
- Comfortable working in a remote environment with reliable infrastructure, including stable internet, backup connectivity, and required hardware (laptop/desktop, webcam, headset, smartphone, and dedicated workspace).
