Job Description
The Front Desk Receptionist is a vital member of the team, serving as the initial point of contact for students, faculty, staff, and visitors. This role is instrumental in providing administrative support across the organization, ensuring a welcoming, efficient, and professional reception and customer service. The Receptionist will manage various tasks to maintain the smooth operation of the front desk, offering a friendly and organized entry point to the college and its departments.
Duties to Include but not limited to:
· Greet and Welcome Guests: Ensure a warm reception for all visitors, making them feel comfortable, and promptly notifying the relevant personnel of their arrival.
· Answer and Direct Calls: Efficiently manage a multi-line phone system, directing calls to the appropriate staff member or department, and accurately taking and relaying messages.
· Provide Information: Respond to inquiries with accurate information about the institute's programs, admissions, and services, or direct them to the correct person or department.
· Maintain Reception Area: Keep the reception space clean and inviting, ensuring that all necessary supplies and informative materials are readily available.
· Manage Mail and Deliveries: Efficiently sort and distribute incoming mail and packages and prepare outgoing items.
· Assist with Administrative Tasks: Support various administrative activities, such as data entry, filing, and preparing documentation, to assist departments across the institute.

Requirements:· High school diploma or equivalent; further certification in office administration is desirable.
· Previous experience in a receptionist or similar role, preferably within an educational or training institute setting.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with administrative software.
· Excellent communication skills, both verbal and written, with the ability to interact professionally with a diverse range of individuals.
· Professional appearance and demeanor, reflecting the institute's values and standards.
· Strong organizational skills, with the capability to multitask and manage priorities effectively.
· Independent worker with the ability to collaborate effectively as part of a team.
