Position Summary
The Fieldston Middle and Upper Admissions Coordinator has the primary responsibility of assisting and providing overall support for both the Director of Admissions, Assistant Director of Admissions and Admissions Associate for the Fieldston Middle and Upper Schools. This position works closely with the Middle/Upper Admissions team in the implementation of admissions policies and procedures.
The hiring range for this position is $75,000-$85,000. When determining the salary for a position, ECFS considers factors including, but not limited to: the scope and responsibilities of the position, internal peer equity, key skills required for the role, the candidate’s work experience, education and training, as well as market and organizational considerations.
Please note that this is an onsite role and not performed remotely. Ethical Culture Fieldston School retains its right to modify job duties in accordance with changing operational needs.
Responsibilities
Specific responsibilities of the Admissions Coordinator include, but are not limited to:
Managing the daily operations of the Fieldston Middle/Upper Admissions Office, handling a large volume of inquiries and applications from prospective applicants for grades 6-12;
Serving as the initial point of contact for prospective applicants, articulating the mission and values of ECFS, responding to information requests, facilitating the process, and explaining deadlines and application requirements;
Coordinating applicant and applicant family interview schedules working with the Director to assign applicants to both faculty and staff interviewers, and overseeing all interviewers’ schedules;
Creating and maintaining admissions data and files in the ECFS Admin Admissions/FinalSite data module;
Processing and tracking correspondence and providing application statuses for the applicant and the Director;
Coordinating events by maintaining the divisional calendar, managing logistics for Fieldston Middle/Upper admissions events and meetings,and collaborating with multiple departments, vendors, and families;
Participating in several admissions events throughout the year, including Discovery Day (weekend), Information Sessions (evenings), Open Houses (evenings), new Admit Receptions (evenings), Revisit Days, and the Buddy Family program;
Working with the team to manage the student tour guide program, and collaborating with Campus Safety, Catering, etc., to ensure that all tours run smoothly;
Assisting in creating and revising admission materials, application, forms, required documents, and marketing materials;
Producing and generating contracts, decision letters, appointment letters, follow-up letters, other correspondence, and enrollment of new students; and
Performing other related projects and duties as assigned.
Position Requirements
The successful incumbent will possess:
A Bachelor's Degree;
A minimum of 2 years of prior administrative experience working with confidential information;
A high degree of organization, resourcefulness, and attention to detail;
The ability to collaborate and build strong relationships with faculty, administrators, and the overall community;
Strong interpersonal skills and the ability to present a positive representation of the School, mission, and philosophy to prospective families;
The ability to handle confidential materials with discretion while maintaining a high level of integrity;
A strong ability to multitask and shift priorities without compromising on the quality of work;
The ability to identify issues quickly and problem solve accordingly, and to remain calm in stressful situations that may arise;
A willingness to learn and embrace new ideas and procedures and a consistent initiative to help streamline processes and improve efficiencies;
The ability to work effectively and productively in a fast-paced, collaborative environment with the aim of increasing efficiency and accuracy in application processing;
The ability to work collaboratively in group settings, as well as independently, to meet project goals and team needs;
Strong proficiency in FinalSite, Microsoft Word and Excel, and the Google Suite;
The ability to work evenings and weekends as required;
Previous experience working in independent schools and/or educational settings is strongly preferred;
A positive attitude and the ability to listen effectively and be receptive to feedback;and
Reliability, punctuality, and consistent attendance; and
The ability to cultivate a welcoming culture in which all members of our community feel valued and appreciated.
