We are looking for a Facilities & Fleet Manager to lead daily facilities and fleet maintenance operations, oversee crews, coordinate work through the computerized maintenance management system (CMMS), and ensure high‑quality upkeep of Port buildings, infrastructure, and vehicles. The role manages preventative maintenance, small projects, regulatory compliance, fleet records, and sustainability initiatives while supporting budgeting, incident response, and strong safety and labor practices. It contributes to a collaborative, mission‑driven work environment and performs additional duties as needed.
Essential Responsibilities:
Essential responsibilities for the Facilities & Fleet Manager may include, but are not limited to, the following:
- Supervise assigned foremen and maintenance crews in the execution of daily facilities and fleet maintenance operations.
- Direct daily work order dispatch through the Port’s CMMS program; ensure timely and quality execution of maintenance tasks; and review, inspect, and close out work orders to ensure accountability and completeness.
- Ensure accuracy of crew timesheets and work order records entered into the CMMS system in accordance with data integrity standards.
- Plan, prioritize, and oversee maintenance and repair activities for Port facilities, including HVAC, electrical, plumbing, fire protection systems, structures, lighting, landscaping, and marine infrastructure.
- Maintain compliance with fire code requirements, including coordination of annual and five-year inspections and required repairs.
- Oversee fleet maintenance operations, ensuring compliance with manufacturer specifications, regulatory requirements, and Port policies.
- Manage fleet asset records, vehicle and equipment inventory, and audit-ready documentation. Manage the Port fuel system (EJ Ward) and provide accurate monthly reporting to accounting.
- Operate and maintain electric fleet vehicles and associated charging infrastructure in accordance with Port standards and in support of the EV transition program.
- Manage small maintenance and repair projects, including oversight of scope, schedule, budget, and quality.
- Produce cost estimates and billable invoices for work reimbursable by tenants; identify opportunities to generate revenue through Port labor and equipment services.
- Respond to incidents involving damage to Port assets; document costs and support recovery efforts.
- Provide operational performance data and budget input to the Director of Facilities.
- Maintain Port assets through implementation of the preventative maintenance program.
- Oversee construction and maintenance material inventory control.
- Implement and ensure adherence to all Port health, safety, and OSHA programs; promote a culture of safety for employees, tenants, and the public.
- Support and implement sustainability and energy efficiency initiatives across Port facilities and fleet operations.
- Apply and adhere to collective bargaining agreements; maintain positive working relationships with Port labor groups.
- Actively support the Port’s mission and vision, and demonstrate values consistently.
- Work effectively as a team player with all Port employees.
- Perform other duties as assigned.

Qualifications:
Education: Bachelor’s degree in construction management, facilities management, or a related field preferred, or any combination of equivalent education and experience that demonstrates the ability to competently perform the job.
Experience: Minimum of seven (7) years of progressively responsible experience in facilities maintenance, construction, or fleet maintenance operations desired. Experience supervising skilled trades in a unionized environment is highly preferred. Public sector experience a plus.
License/Certification:
- Certified Facility Manager (CFM) or Facility Management Professional (FMP) certification preferred.
- Valid, unrestricted driver’s license.
- Ability to obtain and maintain a valid Transportation Worker Identification Credential (TWIC Card) upon hire.

Communication Skills: Able to communicate clearly and succinctly in writing and verbally at all levels. Able to maintain confidentiality and ensure accurate exchange of information. Ability to read, write, understand and communicate clearly in English. Able to develop and deliver formal presentations in a variety of settings to individuals, small or large groups.
Organizational Skills: Demonstrated ability to prioritize and manage multiple tasks under tight deadlines. Able to balance short- and long‑term priorities effectively while handling numerous, shifting, and often competing demands. Strong ability to track detailed information and maintain accurate records.
Analytical Skills: Ability to gather and evaluate data, identify trends, solve problems, prioritize key information, anticipate operational needs, and improve processes by identifying and correcting inefficiencies.
Customer Service: Able to respond to staff and vendor inquiries promptly and professionally.
Problem Solving Skills: Ability to logically think through and solve problems involving several variables. Able to remain objective in gathering information and investigating issues.
Computer Skills: Advanced computer skills with an emphasis on Microsoft Office suite. Working knowledge of CMMS systems required.
Physical Requirements/Environment:
- Ability to sit, stand, bend and walk for extended periods throughout the workday.
- Ability to see, hear, speak, and communicate effectively in person, over the phone, and via digital tools.
- Ability to operate or otherwise use computer systems, software, and standard office technologies to complete essential job tasks.
- Ability to prepare, review and interpret information in written and digital formats.
- Ability to perform repetitive hand motions including grasping, handling and use of fingers.
- Ability to push/pull, reach, stoop, kneel, use stairs, and occasionally climb ladders.
- Ability to lift and move items weighing up to 50 lbs.
- Ability to drive on a regular basis.
- Work is performed in an office environment and at various outdoor locations where adverse weather conditions, uneven ground, exposure to moving machinery and moderate to loud noise is common.

Salary Range: $107,726 - $159,160 annually
