A.T. Still University's Arizona School of Health Sciences (ATSU-ASHS) is seeking a full-time, non-exempt Administrative Manager. The Administrative Manager manages the day-to-day operations of the University’s 100% online Doctor of Medical Science (DMSc) program, including annual academic scheduling, adjunct faculty contracting and payment, supporting administration of an annual program budget of approximately $1,000,000, recruitment and admissions operations, and new-student onboarding and retention. The position serves as the program’s primary administrative liaison to university departments and offices; provides functional direction to adjunct faculty; serves on program committees as needed; and participates in student recruitment and the application review process.
Major Job Duties
- Manages daily operations of the DMSc program in support of the Director and Associate Directors, independently prioritizing and resolving administrative and operational issues.
- Creates the annual DMSc block schedules and academic degree plans to ensure timely completion of the DMSc degree.
- Schedules faculty for each course and each block; prepares, executes, and tracks adjunct faculty contracts and payments in each block.
- Assists the Director with budget planning, forecasting, and problem-solving related to implementation of the DMSc program; monitors expenditures, completes reconciliations, and maintains a balanced budget.
- Provides administrative support to the DMSc program, including adjunct faculty contracts and pay requests, budget tracking, textbook ordering, and support of the remote-work requirements of the DMSc administrative team and adjunct faculty.
- Organizes and ships all materials for, and travels to, annual recruitment conferences (e.g., AAPA in May and PAEA in October).
- Works closely with Online Admissions throughout the application process and issues admission offers to accepted applicants.
- Coordinates the annual DMSc graduation awards reception and collaborates with Student Life on DMSc graduation logistics.
- Maintains the confidentiality and security of student, applicant, and personnel records in accordance with FERPA and University policy.
- Supports student academic progress throughout their educational lifecycle by providing individual advising, monitoring attendance and probation status, maintaining academic records, assisting with remediation plans, and coordinating with key campus departments to facilitate degree completion and compliance.
- Performs other duties as assigned by the Director.
Job Responsibilities
- Provides functional guidance and direction to adjunct faculty (approximately 14 per academic year), including onboarding, scheduling, contracting, and ongoing support, to ensure faculty retention and support of DMSc students.
- Serves as liaison with the departments and offices that support the DMSc program, including the Department of Physician Assistant Studies, Student Life, Communication & Marketing (C&M), Enrollment Services, Academic Affairs, the University Writing Center, the University Library, the Teaching and Learning Center, and Information Technology.
- Coordinates all logistical support, registration, and recruitment materials for, and attends, annual recruitment conferences (e.g., AAPA, PAEA). Works with C&M to maintain current recruitment materials and supplies.
- Assists the Director with reports, faculty evaluations, and self-studies related to continuous improvement, funding, and institutional accreditation (HLC).
- Updates all catalog information annually, and quarterly as needed, in collaboration with the Director.
- In collaboration with C&M, keeps all marketing materials and the DMSc website current.
- Schedules regular online information sessions/virtual open houses and sends invitation links to registrants. Maintains the schedule and the RSVP (Google) form on the DMSc website.
- Meets weekly with Online Admissions and quarterly with C&M regarding recruitment and lead generation for the DMSc program.
- In collaboration with Online Admissions, sends new student offers and onboarding information to newly admitted students.
- Provides retention support for newly admitted students, including updating and facilitating the New Student Orientation (NSO) course in Canvas required of all new students.
Education & Experience:
- Four-year college degree. Bachelor’s degree required in business administration, education, healthcare administration, communication, or a related field; master’s degree preferred. Equivalent combination of education and directly related experience will be considered.
- Required – 2+ years: Administrative, operational, or program-management experience in higher education, preferably supporting an online program
- Preferred – 1 year: Leadership experience in higher education
- Preferred – 1 year: Recruitment/Admission of doctoral candidates
- Preferred – 1 year: Canvas LMS
- Required – 2+ years: Microsoft Office Suite and Google Workspace
The pay rate for this position is 24.33 to 34.04 based on experience and location. This is a fully remote position that will require travel 3-4 times per year.
