Job Title: Accounts Payable Associate

Department: Finance

Location: Queensbury/Hybrid

Reports to: AP Accounting Manager

Date Prepared: September 2026

POSITION SUMMARY

The Accounts Payable Associate is responsible for maintaining the accounts payable ledger, processing and posting weekly payments, performing vendor research and reconciliations.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Receive, code and process accounts payable invoices into company systems which includes matching POs to invoices
  • Process weekly check, ACH or Wire payments
  • Reconcile vendor ledgers to statements
  • Research and respond to both internal and external customer inquiries and assist in resolving issues and discrepancies
  • Provide ad hoc information as requested to support current work and special projects including internal and external audits
  • Assist with monthly status reports, and monthly closings.
  • Reconcile various accounts by identifying errors in posting or omissions by applying appropriate accounting standards.
  • Assist with the preparation of 1099’s
  • Maintain vendor W-9 forms
  • Comply with all relevant internal controls
  • Assist with other projects and duties as assigned

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree in Accounting or Finance and/or 4+ years of applicable accounting experience.
  • Accuracy and attention to detail is a must
  • Excellent written and verbal communication skills
  • Strong organizational skills; must be detail oriented
  • Ability to multi-task and work in small company environment
  • Open to change and willing to learn new skills
  • Ability to meet deadlines
  • Solid PC skills, including spreadsheets and word processing.
  • Strong knowledge of Microsoft Business Central and/or Continia preferable

LANGUAGE SKILLS

Ability to read and interpret documents such as technical journals, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with employees and outside organizations
