Marketing Assistant

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Marketing Assistant based in Mexico.

Join a high-performance, operations-driven marketing environment where precision, organization, and execution are at the heart of everything. In this role, you will act as a critical support pillar for senior marketing leadership, ensuring that campaigns, events, budgets, and logistics run seamlessly across multiple initiatives. You will manage both strategic coordination and hands-on execution, from financial tracking and vendor management to event production and inventory oversight. The position requires someone who thrives in structured yet fast-moving environments and takes full ownership of operational details. You will work closely with executive leadership, acting as a key enabler who removes friction and keeps priorities moving forward. This is a fully remote LATAM-based role with occasional travel for on-site events in the United States.

Accountabilities
  • Support senior marketing leadership directly by coordinating priorities, tracking action items, preparing briefing materials, and ensuring follow-through on key deliverables.
  • Manage marketing budgets, including invoice collection, expense reconciliation, GL coding, and monthly spend tracking against approved allocations.
  • Oversee financial operations such as vendor payments, SaaS billing audits, receipts processing, and contract documentation using tools like Docusign and expense platforms.
  • Coordinate end-to-end event and conference execution, including venues, catering, AV setup, booth logistics, travel arrangements, and on-site support.
  • Manage procurement, inventory, printing, and fulfillment of marketing materials such as branded items, books, and event collateral with full tracking and delivery oversight.
  • Maintain operational systems including CRM updates, spreadsheet tracking, scheduling coordination, and internal access requests across tools and teams.
  • Support shipping and logistics for marketing assets, ensuring timely delivery, setup, and breakdown for events and campaigns.
  • Collaborate with cross-functional teams to ensure operational alignment and smooth execution of marketing initiatives.
Requirements
  • 5+ years of experience in marketing operations, executive support, event coordination, or high-responsibility administrative roles involving budgets and logistics.
  • Strong experience managing events, conferences, or field marketing activities end-to-end, including vendor coordination and on-site execution.
  • Solid understanding of financial operations such as invoice processing, expense tracking, GL coding, and budget vs. actual reporting.
  • Advanced proficiency in Google Workspace, spreadsheets, and operational tools; familiarity with SaaS billing systems and workflow automation tools.
  • Experience managing procurement, print production, inventory tracking, and logistics for marketing or business operations.
  • Highly organized, detail-oriented, and capable of managing multiple priorities under tight deadlines without losing accuracy.
  • Strong ownership mindset with the ability to anticipate needs, solve problems proactively, and operate independently.
  • Fluent English communication skills (written and spoken) with strong attention to detail in professional correspondence.
  • Comfort working in a remote environment with occasional international travel (up to 4 trips per year to the United States).
  • Experience using or building AI-assisted workflows or automation tools is a strong advantage.
