This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Billing and Operations Assistant based in the United States.
This role sits at the core of billing and operational support within a fast-paced legal environment, ensuring the accuracy, timeliness, and compliance of the full revenue cycle. The position plays a key part in supporting attorneys and leadership by managing billing workflows, invoice processing, and client billing platforms. You will help maintain smooth financial operations by coordinating pre-bills, final invoices, and e-billing submissions across multiple client requirements. The role also involves troubleshooting rejected invoices, supporting appeals, and ensuring alignment with billing guidelines and insurance-related processes. In addition, you will collaborate closely with internal teams on accounts receivable, conflicts checks, and operational updates within billing systems. This is a detail-driven position ideal for someone who thrives in structured yet high-volume environments and enjoys contributing to efficient legal operations.
- Assist in managing the full legal billing and revenue cycle, including matter setup, pre-bill creation, invoice revisions, finalization, and distribution in compliance with client billing guidelines.
- Submit invoices through various client platforms such as e-billing systems, email, or other designated channels, ensuring accuracy and timely delivery.
- Monitor and resolve rejected invoices by coordinating with attorneys, leadership, and insurance-related contacts to address billing discrepancies.
- Support appeals processes for invoice reductions, including drafting supporting documentation and communicating with internal stakeholders.
- Maintain and update billing systems, including timekeeper rates, client billing platforms, and e-billing configurations as required.
- Execute write-offs and adjustments in billing systems while tracking trends and communicating issues to leadership.
- Assist with accounts receivable initiatives, conflicts checks, onboarding/offboarding processes, and ad hoc operational projects as assigned.
Requirements:
- High school diploma or GED required; associate’s or higher degree preferred.
- 2–10 years of experience in a legal environment, with 1–3 years of billing experience preferred.
- Prior experience in an insurance defense law firm is considered an advantage.
- Strong proficiency in Microsoft Office 365, Excel, ProLaw, and electronic document management systems.
- Excellent organizational skills with the ability to manage multiple priorities in a high-volume, deadline-driven environment.
- Strong attention to detail, accuracy, and ability to follow complex billing guidelines.
- Effective communication skills with the ability to collaborate across legal, finance, and administrative teams.
- Self-motivated, proactive, and comfortable working both independently and as part of a team.
