The HVAC Sales Lead Coordinator is the first point of contact for homeowners considering an HVAC replacement. This role is responsible for qualifying inbound sales opportunities, scheduling appointments for Comfort Advisors, and creating a seamless customer experience from the very first interaction.
More than just scheduling appointments, the Sales Lead Coordinator builds trust, sets expectations, and ensures every Comfort Advisor arrives fully prepared to provide an exceptional in-home experience. Success in this role is measured by qualified appointments, conversion rates, and overall customer satisfaction.
What You'll DoLead Qualification & Appointment Management- Qualify inbound HVAC replacement leads and gather the information needed to prepare Comfort Advisors for success.
- Schedule and confirm appointments while setting clear expectations for the customer's in-home consultation.
- Respond quickly to web leads, chat inquiries, and digital requests to maximize conversion opportunities.
- Review cancelled or lost opportunities and proactively re-engage customers.
- Confirm appointments to reduce cancellations and no-shows.
- Prioritize leads and adjust schedules to maximize sales opportunities.
- Build rapport and establish trust with homeowners from the first interaction.
- Educate customers on the replacement process and what to expect during the Comfort Advisor visit.
- Answer basic questions regarding products, financing options, and appointment logistics.
- Ensure customers feel informed, confident, and excited about working with Acree.
- Assign appointments using performance-based dispatching.
- Communicate appointment details to Comfort Advisors and ensure they have all relevant customer information.
- Coordinate technician-generated replacement opportunities.
- Monitor service dispatch boards for same-day sales opportunities.
- Partner with technicians and sales leaders to maximize lead conversion.
- Track and report lead activity, booking results, and appointment outcomes.
- Document reasons for lost sales opportunities and communicate findings to the sales team.
- Work closely with Sales Leadership to improve lead management and booking performance.
- Cross-train Customer Service Representatives on lead-setting best practices.
- High School Diploma or GED.
- Customer service, inside sales, call center, scheduling, or appointment-setting experience.
- Excellent communication and relationship-building skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Comfortable discussing financing options and answering customer questions.
- Proficiency with Microsoft Office and CRM systems.
- Experience in residential HVAC, plumbing, electrical, or home services.
- Experience with ServiceTitan or similar CRM platforms.
- Inside sales or appointment-setting experience.
- Experience working with sales teams and performance metrics.
- High percentage of qualified appointments booked.
- Improved Comfort Advisor close rates through thorough lead qualification.
- Reduced appointment cancellations and no-shows.
- Exceptional customer satisfaction from first contact through the sales process.
- Strong collaboration with Sales, Customer Experience, and Service teams.
- Accurate CRM documentation and timely communication.
- Professional office environment.
- Frequent interaction with customers, technicians, and sales leadership.
- Ability to sit for extended periods while working on a computer and phone.
- Standard office equipment including headset, computer, and CRM software.
Monday – Friday with occasional evenings or weekends based on business needs.
