Position Details
We are looking for a Marketing + Proposal Coordinator to join our Calgary office. In this role, you will play a key role in the preparation and management of proposals and business development materials. You will work closely with the project teams to create compelling, tailored proposals that meet client needs while adhering to deadlines and quality standards.

Key Responsibilities
Proposal Coordination + Production Support
- Set up and close out proposal opportunities and projects in PIM and Ajera.
- Support the preparation and production of proposals, qualifications packages, and other business development submissions.
- Format and update resumes, project profiles, and other standard proposal content using established templates.
- Gather and organize project information, team information, and other supporting materials for proposals.
- Support proposal document formatting, editing, assembly, and final production.
- Maintain resumes, project profiles, and other shared proposal resources.
- Provide administrative and production support to Proposal Coordinators throughout the proposal process.
- With guidance, support the coordination of straightforward proposals and qualifications packages as experience develops.
Content Creation + Brand Communications
- Assist with collecting and preparing content for AME’s internal communications, including Legacy Corner and AME Connect.
- Write and edit content using established brand guidelines and tone of voice.
- Support content development for AME’s social media, website, and other communication channels.
- Prepare and update marketing collateral, brochures, presentations, and other branded materials.
- Support content planning and execution for marketing campaigns and brand initiatives.
Marketing Coordination + Campaign Support
- Assist with event planning, sponsorship coordination, and conference tracking.
- Support the preparation, writing, asset gathering, and submission of award entries.
- Track award submissions and related deadlines.
- Maintain photo libraries, templates, and marketing assets across shared drives and content libraries.
- Support updates to marketing and business development collateral.
Key Skills
- Effective written communication, editing, and proofreading skills.
- Working knowledge of Adobe Creative Suite, particularly InDesign, and Microsoft 365.
- Effective organizational skills with attention to detail.
- Ability to balance multiple priorities and meet deadlines in a collaborative team environment.
- Familiarity with website content management systems, social media platforms, and digital communications is an asset.
- Experience with proposal or project information systems is an asset.
- Proactive, coachable, and willing to learn.
Qualifications and Experience
- Bachelor’s degree or Diploma in Marketing, Communications, Business, or a related field.
- Up to 2 years of relevant experience in marketing, communications, proposal support, document production, or a related coordination role.
- Experience in the architecture, engineering, or construction (AEC) industry is an asset.
- Experience supporting proposals, qualifications packages, or other business development submissions is an asset.
- Equivalent combinations of education and experience will be considered.
