Administrative Assistant QuickBooks Experience RequiredJob Summary

We are seeking a highly organized and detail-oriented Administrative Assistant with strong, hands-on experience using QuickBooks to support our administrative and financial operations.

This position requires a proactive professional who is comfortable managing administrative tasks while maintaining accurate financial records and supporting day-to-day business operations. The ideal candidate must be confident working in QuickBooks and have previous experience handling invoices, payments, reconciliations, and financial documentation.

QuickBooks experience is required and will be a key factor in the selection process.

Key Responsibilities
  • Manage and maintain accurate records in QuickBooks.
  • Process invoices, payments, expenses, and financial transactions.
  • Assist with accounts payable and accounts receivable activities.
  • Perform basic account reconciliations and verify financial information.
  • Maintain organized physical and digital filing systems.
  • Prepare administrative and financial reports as requested.
  • Support daily administrative operations and internal processes.
  • Coordinate and follow up on internal and external requests.
  • Manage email correspondence and administrative communications.
  • Maintain confidential company information with professionalism and discretion.
  • Assist management with special projects and administrative support.
RequirementsRequired:
  • Proven experience using QuickBooks (required).
  • Minimum 2 years of administrative and/or accounting support experience.
  • Strong knowledge of Microsoft Office (Excel, Word, Outlook).
  • Excellent organizational and time-management skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities in a fast-paced environment.
Preferred:
  • Experience with bookkeeping, accounting support, or financial administration.
  • Bilingual English/Spanish.
  • Experience working in staffing, professional services, or similar industries.
