Administrative Assistant QuickBooks Experience RequiredJob Summary
We are seeking a highly organized and detail-oriented Administrative Assistant with strong, hands-on experience using QuickBooks to support our administrative and financial operations.
This position requires a proactive professional who is comfortable managing administrative tasks while maintaining accurate financial records and supporting day-to-day business operations. The ideal candidate must be confident working in QuickBooks and have previous experience handling invoices, payments, reconciliations, and financial documentation.
QuickBooks experience is required and will be a key factor in the selection process.
Key Responsibilities- Manage and maintain accurate records in QuickBooks.
- Process invoices, payments, expenses, and financial transactions.
- Assist with accounts payable and accounts receivable activities.
- Perform basic account reconciliations and verify financial information.
- Maintain organized physical and digital filing systems.
- Prepare administrative and financial reports as requested.
- Support daily administrative operations and internal processes.
- Coordinate and follow up on internal and external requests.
- Manage email correspondence and administrative communications.
- Maintain confidential company information with professionalism and discretion.
- Assist management with special projects and administrative support.
- Proven experience using QuickBooks (required).
- Minimum 2 years of administrative and/or accounting support experience.
- Strong knowledge of Microsoft Office (Excel, Word, Outlook).
- Excellent organizational and time-management skills.
- High attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience with bookkeeping, accounting support, or financial administration.
- Bilingual English/Spanish.
- Experience working in staffing, professional services, or similar industries.
