Position Description

We are looking for adaptable, driven individuals who desire to be part of a dynamic team with company values centered around teamwork, ownership, and professionalism.

General Responsibilities:

Responsible for providing a wide variety of administrative, work management and productivity-related support services to assigned Group, Division or Department (these may include Business Development, Preconstruction, Estimating Construction Management, Project Management or others); preparing presentations, some of which may be more complex, and maintaining appropriate records; supporting professional and positive relations with company clients; receiving and/or processing confidential information; completing special projects, some of which may be more demanding that what would be expected of an Administrative Assistant; communicating and collaborating with members of management and staff throughout the company; supporting and adhering to all company core values, operating and regulatory compliance-focused policies and practices.

Essential Duties:

  1. Provides various administrative, work management and productivity-related support services to assigned Group, Division or Department by performing a wide variety of duties.
  2. Fulfills all requirements of the position relating to maintaining accurate, complete and organized records; provides a wide variety of reports to appropriate parties, as requested and required; makes presentations to various groups, as needed.
  3. Actively supports communications and relationship building activities with clients and prospective clients; assists in building client trust and confidence by exhibiting professional, competent and friendly image.
  4. May provide mentoring and career development support to Administrative Assistants, as requested.
  5. Proactively, professionally and with a team-focused attitude collaborates and communicates with members of management and team members throughout the company to integrate activities and achieve goals.
  6. Supports and, as appropriate, actively participates in industry and outside groups and events, in order to project a positive image of M-K.
  7. Complies with established company operating policies and procedures in order to maintain adequate controls and to support the adherence to outside regulatory requirements.
  8. Abides by the current laws and organizational policies and procedures designed and implemented to promote an environment which is free of sexual harassment and other forms of illegal discriminatory behavior in the workplace.
  9. Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of the company’s commitment to a safe working environment.
  10. Responds to inquiries or requests relating to his/her particular area within given time frames and within established policy.
  11. Performs other related duties as assigned or directed.


Position Requirements

Knowledge, Skills and Abilities:

Proficient reading, writing, and grammar skills; exceptional interpersonal relations and communications skills; proficient analytical skills and an orientation toward thoroughly completing multiple tasks and duties; proficient understanding of administrative support processes and responsibilities relating to the function to which the incumbent is assigned, e.g., estimating, project management, etc.; proficient ability to utilize all of the Microsoft Office Suite of programs and exceptional typing abilities; capability to handle multiple activities and details simultaneously and a drive to achieve and produce results on time; collaborative and generative attitudes and abilities toward working as part of a team; visual and auditory skills; valid driver's license.


Education/Experience:

  1. A High School Diploma required with an Associate’s degree in a related field of study preferred; specific training and education focused on business administration and administrative services.
  2. A minimum of 3 years' experience in top level Administrative Assistant positions.

However, some travel may be required to support administrative services, attend various events, make deliveries or pick up various items, etc. When travel is required, the incumbent will be subject to unavoidable travel-related hazards.
