JOB OVERVIEW: FLEET DISPATCHER

The Fleet Dispatcher is a coordination-focused operational role responsible for managing the flow of vehicle and equipment maintenance activities in support of utility vegetation management operations. This position plays a critical role in ensuring fleet readiness, supporting field productivity, and minimizing operational downtime while maintaining compliance with safety and regulatory standards.

The Fleet Dispatcher serves as the central point of communication between field crews, mechanics, vendors, and operations leadership, ensuring alignment across all fleet-related activities. This role requires strong organizational skills, the ability to manage competing priorities across a geographically distributed fleet, and responsiveness to both routine maintenance needs and urgent operational issues.


JOB RESPONSIBILITIES

Fleet Operations & Dispatch:

  • Schedule and dispatch vehicles and equipment to internal mechanics and external service providers
  • Coordinate repairs and maintenance activities with field crews to minimize operational disruption
  • Create, update, and close fleet maintenance work orders in the fleet management system
  • Schedule windshield repairs, preventive maintenance, and required service appointments

Inspection & Compliance Management:
  • Review Daily Vehicle Inspection Reports (DVIRs) for reported defects or failures
  • Initiate and coordinate corrective actions based on inspection findings
  • Schedule and track 90-day inspections and other required fleet inspections
  • Maintain accurate documentation to support regulatory, safety, and company compliance

Emergency Response & Issue Resolution:
  • Receive and respond to emergency vehicle and equipment calls
  • Coordinate towing services and urgent repair needs
  • Provide timely updates to crews, supervisors, and leadership regarding fleet issues

Fleet Records & Maintenance Tracking:
  • Track vehicle and equipment maintenance history, repairs, and inspection records
  • Monitor preventive maintenance schedules to ensure timely service
  • Support continuous improvement of fleet processes and communication workflow

RESPONSIBILITIES & QUALIFICATIONSEducation:
  • High school diploma or equivalent required

Experience:
  • Minimum of 2 years of experience in fleet dispatching, maintenance coordination, or a related role preferred

Skills & Abilities:
  • Strong organizational and time management skills
  • Ability to prioritize and manage multiple work streams simultaneously
  • Working knowledge of fleet maintenance processes and dispatch coordination
  • Ability to interpret inspection reports and identify required actions
  • Strong verbal and written communication skills
  • Proficiency with computers, mobile devices, and fleet management systems
  • Ability to respond effectively in time-sensitive or high-pressure situations

PREFERRED QUALIFICATIONS
  • Experience supporting utility vegetation management, construction, or field-based operations
  • Familiarity with DOT regulations, vehicle compliance, and inspection standards
  • Experience coordinating maintenance for medium- and heavy-duty trucks and equipment
  • Knowledge of preventive maintenance programs and DVIR compliance processes

WORK ENVIRONMENT
  • Primarily office-based with frequent coordination with field teams and service vendors
  • May require occasional visits to fleet yards, job sites, or repair facilities
  • Fast-paced environment requiring responsiveness to changing priorities and emergency situations
  • Extended periods of computer and phone use
