About This Position
Position Summary
The Receptionist serves as the first point of contact for visitors, customers, vendors, and employees at our aviation facility. This role is responsible for maintaining a professional front office environment while supporting daily administrative operations. The ideal candidate is organized, customer-service oriented, and capable of managing multiple tasks in a fast-paced aviation and logistics environment.
Key Responsibilities
• Greet and assist visitors, clients, vendors, and contractors in a professional and courteous manner.
• Answer and direct incoming phone calls to the appropriate departments or personnel.
• Manage the front desk area, ensuring a welcoming, organized, and professional reception environment.
• Coordinate visitor check-in procedures in accordance with facility security and safety protocols.
• Receive, sort, and distribute incoming mail, packages, and courier deliveries.
• Maintain visitor logs and issue visitor badges as required by company security procedures.
• Provide general administrative support to departments including Human Resources, Logistics, and Operations.
• Schedule and coordinate meetings, conference room reservations, and appointments.
• Assist with employees onboarding documentation and administrative paperwork when needed.
• Maintain office supplies inventory and place orders as necessary.
• Support internal communications and assist with company announcements or events.
• Ensure compliance with company policies and aviation facility security requirements.
Qualifications
• High school diploma or equivalent required.
• Previous receptionist, administrative assistant, or customer service experience preferred.
• Experience in aviation, logistics, or technical environments is a plus.
• Proficiency in Microsoft Office (Word, Outlook, Excel).
• Strong communication and interpersonal skills.
• Ability to multitask and manage priorities in a fast-paced operational
environment.
• Professional appearance and demeanor.
• Bilingual (English/Spanish) preferred but not required.
