ROLE OVERVIEW
We are looking for an experienced EMR Implementation Specialist to join our Clinical Technology team. This is a pivotal role responsible for the administration, configuration, and ongoing optimization of our Electronic Medical Record platforms — with Zenoti as the primary system. You will support clinic onboarding, data migrations, workflow design, form builds, and user training across our clinic network, working closely with our IT Support team and clinic Operations teams to resolve EMR-related tickets and system issues.
This position is based in Montréal and operates in a hybrid model, with occasional travel to US clinic locations (a few times per year) for go-lives, training, and site support.
KEY RESPONSIBILITIES
EMR Administration & Configuration
Serve as the primary administrator for Zenoti across all clinic locations (shared with IT Team) Configure and maintain EMR settings, service menus, staff roles, permissions, and reporting Build and maintain digital intake forms, consent documents, and clinical templates Manage system integrations and troubleshoot platform issues in coordination with vendorsMigrations & Onboarding
Lead end-to-end EMR migrations from legacy systems (Nextech, PatientNow, DrChrono, Meevo, and others) into Zenoti Execute data validation, cleansing, and import processes with accuracy and attention to compliance requirements Coordinate new clinic onboarding including device setup, account provisioning, and go-live support Develop and maintain repeatable migration frameworks and documentationTraining & Support
Deliver user training to clinic staff on EMR workflows, best practices, and platform updates Create and maintain training materials, SOPs, and quick-reference guides Provide ongoing EMR support, escalating to vendors when needed Collaborate with the IT Support team on EMR-related helpdesk tickets, triaging issues and providing platform-specific guidanceProcess & Optimization
Identify workflow inefficiencies and recommend system improvements Collaborate with clinic operations, billing, and clinical teams to align EMR configurations to business needs Contribute to HIPAA compliance initiatives related to EMR data handling and access controlsQUALIFICATIONS
Required
3+ years of hands-on EMR administration or implementation experience Experience with at least one of: Zenoti, Nextech, PatientNow, or similar practice management/EMR systems Strong attention to detail and data integrity mindset Excellent communication skills in English — both written and verbal Comfortable working in a distributed, multi-location organizationPreferred
Direct Zenoti administration experience (highly preferred) Background in aesthetics, medical spa, or dermatology clinic environments Familiarity with HIPAA compliance requirements in a clinical tech context Experience building digital forms and clinical intake workflows Experience managing data migrations between EMR platformsWHAT WE OFFER
