Job Description
The Business Office Manager provides timely, relevant and accurate financial information, working closely with the Vice President of Finance & CFO to maintain the integrity of accounting processes, systems and internal control structure. This position compiles, analyzes and prepares financial data while serving as confidential and professional support for the school and community, being a main point of contact between the Business Office and faculty, staff, students and parents.
Duties & Responsibilities
- Manage the Business Office, overseeing tasks such as bank reconciliation, gift reconciliation, cash management, donation logs, accounts payable, accounts receivable, and payroll.
- Assist in month-end closing processes, including preparation of journal entries, reconciliations, and account analysis.
- Prepare daily deposits.
- Maintain orderly records of financial transactions, in compliance with school policies and local, state, and federal requirements.
- Enter AP invoices into the computer system and generate AP checks.
- Acts as a point of contact for the Business Office, providing courteous and efficient communication, independently handling a wide range of questions and inquiries, and fielding questions when necessary.
- Perform AP, AR, and payroll audit requirements on an annual basis.
- Manage financial aspects of employee benefits, insurances, flexible spending accounts, and retirement plans.
- Identify potential opportunities to streamline manual or inefficient processes.
- Evaluate all existing technology in place at St. X, along with other tools available, to identify ways to best leverage tools like automation, integration, and AI to further streamline our work.

Requirements:- Bachelor’s degree in accounting.
- Minimum of 10 years of experience in a professional accounting environment.
- Knowledge of and experience with fund accounting, accounts payable, accounts receivable, and payroll.
- Experience using accounting software systems – working knowledge of BlackBaud preferred.
- Proficient in Microsoft Office Suite.
- Ability to make quick decisions, take initiative, and prioritize tasks.
- Ability to process detailed information with a high degree of accuracy and confidentiality.
- Exceptional organizational skills while maintaining flexibility.
- Outstanding communication and interpersonal skills.
- Technically proficient, with a strong focus on efficiency and process optimization.
- Knowledge and/or experience with benefit administration, labor law and other human resource management issues is a plus.

This position requires a background check, and the employee must complete the Safe Environment Training course offered through the Archdiocese of Louisville. The course must be completed within 30 days of employment.
