Trouble File Specialist in Reedley, California at Family Tree Farms

Family Tree Farms is seeking a highly organized and detail-oriented Trouble File Specialist to oversee and drive resolution of product claims, quality issues, and operational discrepancies across our supply chain.

This role serves as a key point of coordination between Sales, Operations, Quality Assurance, Accounting, and our grower partners. The ideal candidate brings a strong accounting foundation, experience working within ERP systems—specifically Famous—and thrives in a fast-paced environment where ownership and follow-through are critical.

Key Responsibilities

- Manage all trouble files within the Famous ERP system, including quality claims, rejections, shortages, and logistics discrepancies

- Ensure all files are accurately entered, updated, and maintained as the system of record

- Maintain complete documentation tied to each file. Utilize QuickBase to track supplemental information and ensure alignment with Famous

- Serve as liaison between Sales, Operations, and Accounting

- Communicate with customers, growers, and partners to resolve issues

- Drive issues from initial report through final settlement

- Facilitate approvals with Sales and Accounting

- Ensure financial accuracy of claims, credits, and settlements

- Enforce settlement timelines (e.g., PAS files within 30 days)

- Maintain reporting on open and closed issues

Qualifications

- 2–5+ years of experience in the produce industry required; candidates with accounting experience and Famous ERP knowledge strongly preferred

- Strong organizational skills and attention to detail

- High sense of ownership and accountability
