Position Summary
The Logistics Coordinator is responsible for coordinating shipping, receiving, and inventory-related transactions to support efficient site operations. This role ensures inbound and outbound materials, parts, and completed products are accurately processed, documented, and entered into the company’s ERP and other business systems. The Logistics Coordinator supports material flow across the site, helps ensure jobs and shipments are properly staged and ready, and leads the day-to-day coordination and oversight of work tasks assigned to drivers and material handlers to ensure activities are completed safely, accurately, and on schedule. This role does not have direct supervisory responsibility.
Essential Duties and Responsibilities
Coordinate daily shipping and receiving activities for parts, materials, equipment, and completed products.
Verify inbound shipments against packing slips, bills of lading, manifests, purchase orders, invoices, and related records to confirm accuracy and identify shortages, damages, or discrepancies.
Receive materials, parts, and other inventory items into the ERP or company computer system accurately and in a timely manner.
Enter and maintain requisitions, purchase orders, shipment records, receiving transactions, inventory movements, and other logistics-related data.
Identify, tag, label, and allocate received materials and parts to the appropriate jobs, work orders, departments, or storage locations.
Prepare outbound shipments by packaging, labeling, documenting, and coordinating freight, parcel, or local delivery requirements.
Create and process shipping documentation, including bills of lading, packing lists, work orders, shipment records, and other required paperwork.
Prepare completed pumps, components, and other finished goods for shipment or internal transfer, ensuring materials are properly staged and all required documentation is complete and accurate.
Maintain organization and control of shipping materials, receiving areas, inventory staging locations, and shipment documentation.
Communicate with internal departments, carriers, drivers, and material handlers to coordinate priorities, pickups, deliveries, and material movement.
Lead, coordinate, and oversee the daily work tasks of drivers and material handlers by assigning priorities, communicating schedules, directing workflow, and monitoring completion of assigned activities.
Provide day-to-day operational direction related to shipment schedules, receiving priorities, material staging, transfers, and movement of goods in coordination with site leadership.
Monitor shipment status and follow up on delays, discrepancies, missing items, freight issues, or documentation errors.
Support inventory accuracy through proper system transactions, tagging, location control, and material tracking practices.
Maintain records related to shipment weights, freight charges, damages, shortages, exceptions, and related reporting or audit requirements.
Ensure shipping and receiving activities are performed in accordance with company procedures, quality requirements, and safety standards.
Assist with other shop, warehouse, logistics, inventory, or operations-related duties as assigned.
Required Qualifications
High school diploma or GED required.
Minimum of 2 years of experience in shipping, receiving, logistics, warehouse coordination, inventory control, or material control.
Experience using ERP systems, inventory systems, or other business software for shipping, receiving, and transaction entry.
Working knowledge of shipping documentation, receiving processes, inventory transactions, and material tracking practices.
Proficiency in Microsoft Office, especially Excel and Outlook.
Strong organizational skills and attention to detail.
Strong communication, coordination, and follow-up skills.
Ability to prioritize tasks, manage multiple activities, and respond to changing operational demands.
Ability to work effectively across office and shop environments.
Preferred Qualifications
Experience in a manufacturing, machine shop, industrial service, warehouse, or repair center environment.
Experience coordinating freight, local deliveries, and carrier scheduling.
Familiarity with pump parts, industrial components, raw materials, or shop consumables.
Experience supporting material flow in a machine shop, warehouse, or service/repair operation.
Mechanical aptitude and ability to identify parts and materials.

Working Conditions / Physical Demands
The Logistics Coordinator works in both office and industrial/shop environments and may be exposed to noise, vibration, moving equipment, temperature changes, and other typical warehouse or machine shop conditions. The role requires frequent standing, walking, reaching, handling, and coordination of materials and paperwork. Occasional lifting, carrying, pushing, and pulling may be required in accordance with company safety guidelines.
