Summit Swimming Pools, Inc. is seeking an organized, proactive, and tech-savvy Office Manager to join our team in Ardmore, PA. This is a dynamic, full-time role at the heart of our operations, ensuring smooth scheduling, client communication, billing, and team coordination. You'll work closely with both the field team and management to keep everything running efficientlyfrom job schedules to bookkeeping and client interactions.

Key ResponsibilitiesMonitor and manage schedules for office, shop, deliveries, trash, water, heating oil, and vehicle maintenance
Coordinate vendor deliveries and client showroom appointments
Answer and return client phone calls and emails (existing and new leads)
Communicate clearly and professionally with clients about job progress and scheduling
Assist employees with registration for training and certifications
Take initiative in learning pool and hot tub industry terminology through self-directed training
Troubleshoot and coordinate with vendors for technology issues (phone, printer, internet)
Learn and manage business software including CRM, vehicle tracking, supply ordering
Organize and send all receipts to QuickBooks Online; track payments and assist with invoice management
Run recurring invoicing, manage credit card records, and bill for chemical usage
Update pricing in LMN software for chemicals, subcontractors, labor, and equipment
Support additional administrative and leadership tasks as the role grows
At least 1 year of experience as an Office Manager or similar administrative role
Valid driver's license and reliable transportation
Excellent communication, time management, and team collaboration skills
Ability to multitask and handle a variety of responsibilities with minimal supervision
Willingness to work overtime during peak seasons (Spring and Fall)
Strong technology aptitude and ability to learn industry-specific software (QuickBooks Online, CRM, LMN)
Detail-oriented with a proactive and flexible mindset
