Job Summary
The Assistant Business Office Manager plays a key role in supporting the daily operations of the Business Office, ensuring accurate and efficient billing, claims processing, and patient account management. This position works closely with the Business Office Manager to oversee workflows, support staff development, and ensure compliance with regulatory and organizational standards.
Requirements: Revenue Cycle & Operations- Oversee daily billing operations, including charge entry, payment posting, claims submission, and denial management
- Review visit coding to ensure accuracy of patient charges and documentation
- Monitor accounts receivable and follow up on outstanding balances to support timely reimbursement and cash flow
- Perform collections activities and establish patient payment arrangements as needed
- Verify insurance eligibility and assist with patient insurance and billing inquiries
- Ensure compliance with billing regulations, including HIPAA, OSHA, and payer requirements
- Identify process inefficiencies and implement workflow improvements
- Maintain accurate billing, collections, and reporting records
- Serve as a billing and insurance resource for Call Center, Front Desk, Clinical Staff, and Providers
- Collaborate with providers and clinical teams to ensure accurate communication of billable services
- Support cross-functional communication to promote timely claim processing and reimbursement
- Assist the Business Office Manager with daily workflow oversight and staff productivity
- Monitor team performance and generate reports to identify trends and outcomes
- Review quality metrics and provide coaching and constructive feedback
- Support onboarding and training of new team members
- Assist with developing and maintaining SOPs for Medical Records, Claims, and Collections
- Provide mentorship, guidance, and ongoing staff training
- Assist with performance evaluations and disciplinary feedback as needed
- Coordinate staffing schedules and provide coverage support when necessary
- Strong written and verbal communication skills
- Excellent attention to detail and organizational abilities
- Ability to manage multiple priorities in a fast-paced environment
- Strong critical thinking and problem-solving skills
- Ability to follow oral and written instructions accurately
- Proficiency with Practice Management systems and EHR platforms
- Experience with patient registration, insurance verification, and payment collection
- Professional and empathetic communication with patients and team members
- Ability to de-escalate challenging situations calmly and effectively
- Ability to work independently and collaboratively across teams
- High School diploma or equivalent required
- Minimum of 2 years of experience in a healthcare business office environment, including patient registration, insurance verification, and payment collection
- Dermatology experience preferred
- Prior supervisory or leadership experience preferred
This role is performed in a clinical setting.

Duties may include standing, walking, sitting, reaching, bending, and using hands for typing and handling objects. The employee must be able to lift up to 10 pounds. Vision requirements include close, distance, color, peripheral vision, depth perception, and the ability to adjust focus. Prolonged periods of sitting at a desk and working on a computer are required.
