About This Position

Marketing Coordinator

Position Summary:
Coordinates all marketing projects by collaborating with the communications / marketing team, department representatives, and vendors, ensuring that projects are delivered on time and align with the overall marketing strategy.

Qualifications:
A. Education:
1. High school diploma or equivalent is required.
2. College graduate preferred.
3. Must have strong writing, editing, oral, problem-solving and coordination skills.
B. Training and Experience:
Experience in healthcare communications/ marketing and/or advertising production. Excellent oral and written communication skills. Strong computer skills, working in Word, Excel, PowerPoint and Base Camp.

Responsibilities and Authorities:

A. Actively participates in and advocates for the “I CARE” service philosophy, embodying the principles of Integrity, Customer Focus, Accountability, Respect, and Excellence in all interactions.

B. Undertakes additional duties as assigned by the department’s management staff, contributing to the overall effectiveness and adaptability of the team.

C. Covers the front desk and adapts to hospital needs by being flexible with assigned shifts as directed by department management.

D. Provides front-line phone support by answering the main line and routing calls efficiently and courteously to the appropriate contacts.

E. Processes and submits invoices through Aperek, verifying coding by Marketing Manager, documentation, and accuracy before routing for approval.

F. Prepares and submits American Express expense documentation to Accounting with accurate coding and required receipts.

G. Assists in preparing and organizing documents, agendas, conference reports, status reports, and correspondence for internal and external marketing projects. Conducts research and compiles background information to support strategic planning and robust reporting, including preparing the department’s monthly CEO report with accurate, complete, and timely data and updates.

H. Prepares and updates a weekly report for status meetings, ensuring that all project schedules are accurately reflected in the project management software, facilitating clear communication and accountability.

I. Represents the Communications/Marketing department on in-house committees and engages with community projects on behalf of the Medical Center, enhancing community presence and outreach.

J. Oversee the maintenance and ordering of office supplies for the department, ensuring resource availability and operational efficiency.

K. Picks up completed print materials from vendors as needed and ensures proper delivery to the Communications/Marketing Department or designated staff.

L. Assists Communications/Marketing staff in planning and executing special events, contributing to the successful delivery of initiatives that enhance the organization’s visibility and community engagement.

M. Pulls and prepares promotional items for events and giveaways as directed by the Marketing Manager, ensuring accurate quantities and timely distribution.

N. Graphic Design: Creates work from basic concept to final printed in hand collateral, to maintain brand consistency, professionalism, and continuity. Resize artwork as needed.

O. Updates copy and artwork for a variety of projects, including print advertisements, brochures, website content, radio spots, and newsletters. Responsible for editing copy, artwork, and printing proofs prior to review by the Marketing Manager and relevant health system departments.

P. Photography & Videography: Oversees photography and videography for hospital events and activities. Manages and maintains all photographic and video equipment, including checkout procedures, ensuring all equipment is in proper working condition. Maintains an organized digital library of current and past event media.

Q. Photography & Videography: Works with team for production of MCH Commercials/Video testimonials/Department Educational Videos for internal and external use. Plans, directs and ensures quality, consistency and excellence of work are maintained.

R. Coordinates event setup and teardown activities, including audio equipment, music, sound systems, and other event resources. Provides support for occasional afterhours events, including nights and weekends as needed.

S. Audio: Helps to record audio for voiceovers etc. as needed by management.

Unusual Physical Demands and Working Conditions:
A. Varied long hours may be required.
B. Ability to work under stress.
C. Exposure to VDT for long periods.
D. Daily trips to main Hospital and other MCHS campuses.
E. May encounter exposure to infectious diseases
