Job Summary
The Accounting Specialist is responsible for supporting departmental accounting activities with specific responsibility for the maintenance, analysis, and oversight of financial accounting records, including supporting documentation for journals, cash receipts, invoices, and related activities. This role applies accounting principles and exercises independent judgment to ensure accuracy, proper classification, and compliance, while reviewing transactions, resolving discrepancies, and supporting financial reporting and audit activities.
Major Responsibilities/Activities
- Analyze, review, and process vendor invoices within the Enterprise Resource Planning (ERP) system, ensuring proper classification of expenses to the appropriate general ledger accounts, locations, departments, and classes; identify and resolve discrepancies as needed.
- Evaluate and administer employee travel expenses and cash reimbursements by verifying appropriate coding, ensuring compliance with company policies, and reconciling corporate credit card transactions; review and adjust entries to maintain accuracy and consistency in financial records.
- Manage and monitor client receivables activities, including recording cash receipts and reviewing transactions to ensure completeness, accuracy, and proper application.
- Apply accounting principles and independent judgment to review financial transactions, identify variances or irregularities, and implement appropriate corrections or recommendations.
- Support financial reporting and compliance efforts by assisting with annual financial audits, 401(k) audits, SSAE 18 requirements, and corporate tax processes; prepare and organize supporting documentation as required.
- Collaborate with cross-functional teams and external partners to address billing issues, communicate financial information, and provide guidance on accounting-related matters.
- Contribute to financial systems initiatives, including system upgrades, implementations, and process improvements, ensuring data integrity and alignment with business needs.
- Exercise discretion in handling confidential financial, client, and organizational information in accordance with company policies and regulatory standards.
- Perform other duties as assigned.
Required Education, Skills, & Experience
- Associate’s degree in Accounting, Finance, or a related field; Bachelor’s degree preferred.
- Demonstrated experience utilizing accounting systems (e.g., Sage Intacct, QuickBooks Enterprise), including integrations with external systems such as payroll, travel and expense (T&E), and other financial platforms.
- Strong proficiency in Microsoft Office Suite, particularly Excel, including advanced functions such as pivot tables and lookups, with the ability to analyze and interpret financial data.
- Working knowledge of generally accepted accounting principles (GAAP) and experience applying accounting practices within automated systems, including proper use of chart of accounts and system integrations.
- Proven ability to apply accounting knowledge and exercise independent judgment to evaluate transactions, ensure data integrity, and support financial reporting and compliance requirements.
- Proficiency in English is necessary for job-related communication, including understanding policies, writing correspondence, and engaging with colleagues or clients.
Preferred Education, Skills, & Experience
- Experience performing detailed financial analysis of journal entries and financial statements to ensure accuracy, completeness, and proper classification.
- Experience reconciling bank statements and subsidiary systems, including identifying discrepancies, investigating variances, and implementing appropriate resolutions.
- Experience analyzing budget-to-actual variances and providing insights to support financial decision-making and planning.
- Demonstrated ability to evaluate transactions, identify trends or irregularities, and proactively recommend corrections or process improvements.
Working Environment
- The office environment is a controlled indoor setting with minimal exposure to adverse conditions.
- Noise levels in the office are typically moderate and consistent with a standard office setting.
- For employees approved to work in a hybrid or remote setting, a quiet, private workspace free from significant distractions is required to ensure productivity during work hours.
- A reliable internet connection is required for hybrid/remote work. EMS|MC will provide necessary equipment, including a computer, monitor, keyboard, mouse and headset.

- Travel: must be able to travel occasionally to attend required company meetings.
