About This Position

The Pro Shop & Office Manager is responsible for the day-to-day operations, customer service experience, and administrative management of the Racquet Sports Pro Shop and Department. This role serves as the primary point of contact for members and guests and ensures a welcoming, organized, and professional environment for all racquet sports activities

The Pro Shop Manager & Office Manager manages court reservations, billing, payroll tracking, inventory, and communication for the Racquet Sports department. This role also supports program administration including camp, clinics, lessons, and special events. The Pro Shop Manager works closely with the Director of Racquet Sports, the Sr. Director of Sports & Fitness, and the Racquet Sports professional staff to ensure smooth and efficient operations.

This is a full-time, non-exempt, benefit eligible position. The Jewish Community Center is an Equal Opportunity Employer (EOE).

ESSENTIAL FUNCTIONS:

Member Experience and Pro Shop Operations

  • Serve as the primary customer facing representative for the Racquet Sports department and create a welcoming Pro Shop environment for members and guests.
  • Provide excellent customer service in person, by phone, and through email.
  • Maintain a clean, organized, and professional Pro Shop including retail displays and merchandise.
  • Assist members with court reservations, program registration, and general racquet sports inquiries.
  • Help connect members with playing partners, groups, or appropriate programs based on skill level and interests.
  • Court Reservations and Program Administration

  • Manage court reservations through the JCC reservation system and mobile application.
  • Create and maintain lessons, clinics, leagues, camps, and events within the JCC CRM system.
  • Coordinate daily scheduling with Racquet Sports professionals to ensure accurate court assignments and lesson bookings.
  • Track court usage and identify opportunities to convert open court time into lessons, drills, leagues, or other programming.
  • Financial and Administrative Support

  • Manage billing and financial tracking for Racquet Sports programs including lessons, clinics, and court rentals.
  • Assist with department budgets, purchase requests, and accounting documentation.
  • Prepare payroll reports and review lesson and program documentation with Racquet Sports professionals to ensure accurate billing.
  • Maintain accurate records for programs, reservations, and department operations.
  • Marketing and Member Communication

  • Prepare and distribute weekly or biweekly Racquet Sports updates highlighting upcoming programs, drills, leagues, camps, and events.
  • Monitor program registration levels and assist with promoting under-enrolled programs.
  • Coordinate marketing requests and website updates for Racquet Sports programs.
  • Staffing and Administrative Support

  • Assist with administrative processes related to hiring, onboarding, and paperwork for part-time Pro Shop staff and contracted Racquet Sports professionals.
  • Provide administrative support to the Racquet Sports department.
  • REQUIRED EDUCATION & EXPERIENCE:

  • Minimum five years of administrative, operations, retail, or sports facility experience.
  • Strong customer service and communication skills.
  • Highly organized with the ability to multitask in a fast-paced environment.
  • Proficiency in Microsoft Office including Excel.
  • Ability to learn reservation and CRM systems.
  • Ability to build positive relationships with members and staff.
  • Professional in appearance, manner and tone.
  • A team player who possesses the ability to work in a collaborative environment.
  • Ability to lift up to 50 pounds and work in both office and active recreational environments.
  • WORK ENVIRONMENT:

    This job operates in both a clerical office setting and an active recreational environment. The role regularly uses computers, phones, reservation systems, printers, and other standard office equipment.

    ESSENTIAL PHYSICAL DEMANDS:

    This role includes both sedentary administrative work and active operational responsibilities within the Pro Shop and racquet sports facility.

    The individual in this role must be able to stand for extended periods, move inventory, and lift and carry items up to 50 pounds.
