What You Will Do
  • Serves as administrative source regarding policies and procedures.
  • Manages Dean's office operations and coordinates work across academic affairs and external affairs.
  • Manages School listservs, the School's SharePoint site, and all positions in NeoEd.
  • Budget manager and fiscal officer delegate for all School state, local, Foundation, and grant accounts and budgets.
  • Advises the Dean regarding budgetary matters to assist in fiscal planning.
  • Serves as School personnel manager by initiating and overseeing all faculty, professional/administrative staff, civil service, and graduate assistant searches/hires, policies/contracts, etc.
  • Prepares all faculty, staff, and graduate student employment contracts, onboards all new employees, and certifies each payroll for all School employees.
  • Assures the School complies with hiring policies by working closely with the Dean, department chairs, directors, Provost's office, HR, EOA, and the Provost's Immigration Specialist. Calculates and oversees payment of merit increases, faculty/instructor/staff promotional increases.
  • Coordinates all midpoint, tenure & promotion, and sabbatical review paperwork and submits required documents to various committees and Provost's office per School and University policies. Informs Dean of issues.
  • Signs on behalf of the Dean.
  • Other duties as needed.

Minimum Acceptable Qualifications

-A minimum of 10 years of professional level accounting, managerial, or business experience at an administrative level at SIUE
-Excellent written and oral communication skills, organizational skills, and the ability to maintain a high level of confidentiality

About Extra Help Positions:

Extra Help job listings typically close three days after the opening date, unless specified in the closing date. Extra Help employees are appointed to fulfill casual or emergent needs within the university. The amount of time for which services are needed is not usually predictable and payment for work performed is on an hourly basis and based on actual hours worked. Workdays and hours may vary according to departmental requirements. Extra Help employees do not receive SIUE benefits, holiday pay or paid sick or vacation leave.

Extra Help employees are required by State Universities Civil Service System rules to take a 30-calendar-day break after working 900 hours. At the end of the 30 days, you may begin another 900-hour employment cycle in a new position if available. Working Extra Help will in no way affect any other employment opportunities with SIUE, including your position on and Civil Service register. There is no guarantee that working as Extra Help will lead to or secure permanent employment.

Illinois Residency Requirement: Pursuant to the State Universities Civil Service System, out-of-state candidates must establish Illinois residency within 180 calendar days of the start date for this position.

Illinois residency requires proof of a valid Illinois Driver's License or state of Illinois ID Card. Failure to produce the required documentation within 180 calendar days will result in immediate termination of employment.

Pre- Employment Screening: All external candidates who receive a job offer will be required to undergo pre-employment screening for this position. The screening process will encompass a criminal background check and, where applicable, other background checks such as a drug screen, verification of employment and education or licensure/certification, reference checks, and/or checks with relevant government registries. Please note that all job offers are contingent upon successful completion of the required screening process.

Additional Information: SIUE will only employ those who are legally authorized to work in the United States and visa sponsorship for this position will not be provided. International students at SIUE on F-1 or J-1 visas are not eligible for full-time or part-time civil service positions with permanent status.
