SUMMARY: The Project Manager, Ground Maintenance is responsible for overseeing the planning, coordination, and delivery of landscape maintenance and snow operations while serving as the primary point of contact for clients. This role combines client relationship management, quoting and contract support, site oversight, scheduling, and quality control to ensure services are delivered efficiently, safely, and to established standards. The Project Manager monitors job costs, supports billing and administrative processes, and collaborates with operations teams to resolve field issues and maintain service excellence. Success in this position requires strong organizational and communication skills, sound operational judgment, and the ability to manage multiple projects, resources, and seasonal priorities in a fast-paced environment while contributing to business growth and continuous improvement initiatives. DUTIES AND RESPONSIBILITIES: 1. Client Interaction & Sales
  • Serve as the primary point of contact for snow and maintenance clients, building and maintaining strong relationships with clients and subcontractors.

  • Respond promptly to service requests and resolve issues with professionalism and care.

  • Prepare quotes for new work, upsell additional services, and manage contract renewals to support business growth.

2. Site Oversight & Scheduling
  • Conduct site walkthroughs to assess work, track costs, and identify opportunities for service enhancements.

  • Schedule and adjust seasonal services based on client needs, staffing, and weather conditions.

  • Create and maintain detailed schedules to ensure efficient allocation of resources and timely service delivery.

  • Coordinate maintenance crews and Fertilizer/Weed Spray Technicians on a day-to-day basis.

3. Execution & Quality Control
  • Ensure all work is completed in accordance with company and client standards.

  • Adjust services or operational approaches as needed to meet client expectations.

  • Troubleshoot and resolve field issues in collaboration with the operational team.

4. Administrative & Financial Oversight
  • Monitor labour costs through daily time approvals and dispatching work tickets.

  • Coordinate with the operations administrator to ensure accurate and timely billing.

  • Follow up on outstanding invoices and maintain documentation for accountability.

  • Monitor job costs and profitability to ensure projects remain financially viable.

5. Operational Support & Growth Initiatives
  • Order necessary materials and equipment to support ongoing projects.

  • Assist in exploring new business development opportunities and operational improvements.

  • Dedicate approximately 25% of time to miscellaneous, strategic, or growth-related tasks.
6. General
  • Perform other duties as assigned.
*Seasonal Transition: Snow & Ice Management

From November through April, Park Landscaping shifts focus to snow and ice management. During this period, the Project Manager oversees a designated division—such as Sidewalks, Parking Lots, or Special Projects—while maintaining core project management, scheduling, and administrative responsibilities adapted for winter operations. Work hours are weather-dependent and may include evenings, weekends, and holidays to ensure safe, efficient, and timely snow and ice services.

QUALIFICATIONS:
  • Experience: A minimum three (3) years in landscape maintenance, snow services, or account/client management.

  • Proven experience quoting work, explaining service options, and managing client expectations.

  • Education & Certification: Diploma, certificate, or equivalent experience in Landscaping, Horticulture, Business, or related field preferred.

    • Relevant industry certifications (e.g., project management, safety, or landscaping certifications) are an asset.

  • Regulatory Knowledge: Familiarity with workplace safety requirements, compliance standards, and operational best practices for landscaping and snow operations.

  • Understanding of documentation and reporting requirements for regulatory and client compliance.

  • Systems & Technical Experience: Proficiency with Google Workspace, Aspire, SiteDocs, ADP, QuickBooks, or similar platforms.

    • Comfortable learning new operational, scheduling, or financial software to support project management.

  • Technical Proficiency: Uses digital tools and platforms to streamline workflows, scheduling, reporting, and client billing.

  • Quality & Compliance Focus: Ensures work meets company standards, client expectations, and safety/regulatory requirements.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:
  • Role requires frequent travel to active construction sites. Must be comfortable working in diverse weather conditions (heat, rain, snow) and maintaining flexible hours to meet project deadlines.

  • Regular exposure to high noise levels, heavy machinery, dust, and pool chemicals. Requires consistent use of Personal Protective Equipment (PPE).

  • Ability to navigate uneven terrain, inclines, and excavations. Requires prolonged standing, walking, bending, and kneeling to inspect technical work.

  • Capability to lift and move up to 50 lbs and perform tasks requiring fine motor skills, such as blueprint reading and equipment testing.
