Position Summary
The Aesthetics Medical Assistant assists the providers with in-office patient care. Primarily responsible for preparing treatment rooms for patients, assisting as needed during treatments, and clean-up of treatment rooms.
Physical Demands
- Regularly required to sit, stand, walk, speak and hear
- Sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen
- Occasionally lift and/or move up to 20 pounds
Travel
- Must be able to travel to attend conferences, training and other events as required

Essential Functions
An individual must be able to perform each essential function satisfactorily with or without accommodation. The requirements listed below are representative, but not all inclusive, of the knowledge, skill, and/or ability required.
Responsibilities
- Greets patient and introduces self prior to exam or procedure
- Explain to patient what patient should expect from work up and from the Providers
- Provide pre and post instructions to patients
- Take accurate pre and post photos
- Apply numbing medicine as needed
- Prepare injectable medications by mixing as directed
- Complete a detailed patient history which includes: past medical history, family medical history, medication history and the reason for visit
- Start a patient visit, collect chief complaint, take photos, and set up charting for provider
- Transcribe information during aesthetic visits in real time into electronic health records (EHRs) under provider supervision
- Responsible for care, maintenance and stocking of assigned room(s)
- Blood draws/injections
- Attends required staff and educational meetings as requested
- Maintains strictest confidentiality
- Inventory mangement
- Unpack shipments: open boxes, verify contents with packing slip to ensure accuracy in quantity and quality and then unpack and put away contents in designated storage areas
- Appointment scheduling via phone, email or text and resolves any scheduling issues quickly and professionally following office protocols (SOPs) as needed
- Appropriately and timely handling patient inquiries/leads as assigned
- Appropriately manages patient voicemails timely and effectively
- Transmit provider-authorized prescription orders and routine refills to outside pharmacies via phone, fax, or Electronic Medical Record (EMR) systems (e-prescribing)
- Serve as the primary point of contact for external pharmacies to resolve routine issues regarding dosage, frequency, or quantity, escalating clinical questions to the licensed provider
- Initiate, process, and follow up on prior authorization requests with insurance companies and outside pharmacies for medications as needed
- Remain up-to-date/current with promotions, accurate product and treatment education for patients
- Remains confident and knowledgeable in retail products and sales, remains goal oriented and driven
- Check patients in for appointments; verify insurance when applicable, verify demographic information at each visit, collect co-payments, co-ins, fees and/or patient balances
- Scan patient identification card and insurance when applicable
- Inform patients of delays or other situations that may result in a longer than normal wait
- Have a clear understanding of provider schedules and different appointment types
- Check out patients and schedule return visits as needed and/or indicated
- Review and apply patient financials accurately and apply certificates as needed
- Keep the back restrooms clean, organized and products stocked at all times
- Actively participate in creating social media content for providers, including filming, photography, and assisting with treatment-related educational posts
- Support the practice’s brand and online presence by contributing to social media initiatives and content planning
- Assist with behind-the-scenes content, treatment room footage, and patient-approved visuals to support the practice’s online presence
- Ensure all content adheres to HIPAA guidelines, patient consent requirements, and practice standards
- Participation in social media content creation is considered part of the regular clinical workflow
- Any duties or projects as assigned by the Clinical Manager or Clinical Supervisor
Qualifications
- High School Diploma or GED
- Bilingual in English in Spanish, preferred
- Previous aesthetics office experience preferred
- Previous medical office experience of at least two (2) years with patient interaction required
- Medical Assistant (MA) Certification
- Current Phlebotomy Certification
