This role sits at the intersection of research operations, program management, and strategic portfolio oversight within a large-scale healthcare research environment. You will support modernization efforts aimed at improving how research initiatives are reviewed, documented, tracked, and reported across a complex federal research ecosystem. Acting as a key operational connector, you will help align multiple stakeholders, streamline workflows, and ensure leadership has clear visibility into portfolio performance and progress. The position involves coordinating cross-functional initiatives, supporting governance and policy implementation, and driving consistency in research operations. You will contribute directly to improving transparency, efficiency, and standardization in research program execution. This is a highly collaborative and mission-driven role with exposure to senior leadership and enterprise-wide initiatives.
- Support the implementation and continuous improvement of research portfolio management frameworks, reporting standards, and operational processes across multiple workstreams.
- Develop, maintain, and update project plans, trackers, timelines, dashboards, and status reports to ensure accurate visibility of ongoing initiatives.
- Coordinate meetings, facilitate discussions, track action items, and ensure timely follow-up across leadership teams, program offices, and stakeholders.
- Assist in the development of standardized reporting tools, documentation structures, and portfolio analysis outputs to support decision-making.
- Contribute to research portfolio review activities, including data organization, synthesis, categorization, and reporting of key insights.
- Support the creation of SOPs, governance documentation, job aids, and process improvement materials to standardize operations.
- Assist with change management efforts tied to new policies, frameworks, and operational updates across the research enterprise.
- Prepare executive-level deliverables, including presentations, weekly reports, and strategic summaries for leadership review.
- Identify risks, dependencies, and operational gaps while supporting process optimization and workflow improvement initiatives.
- Leverage tools such as Excel, SharePoint, and Teams to manage tracking, reporting, and collaboration activities.
Requirements:
- Bachelor’s degree in public health, health administration, business administration, public administration, life sciences, or a related field.
- Minimum of 4 years of experience in project management, program operations, research administration, healthcare operations, or program analysis.
- Proven experience coordinating multi-stakeholder initiatives, particularly in complex or regulated environments.
- Background in research operations, healthcare research administration, research policy, or similar domains.
- Strong ability to develop and maintain project tracking tools, reporting mechanisms, and operational dashboards independently.
- Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Teams, and SharePoint.
- Excellent written and verbal communication skills with the ability to present information clearly to technical and non-technical audiences.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities in a remote work environment.
- Ability to obtain and maintain a public trust clearance and authorization to work in the United States.
- Preferred: experience in VA, VHA, ORD, or federal healthcare research environments.
- Preferred: familiarity with research governance, scientific review processes, or policy development.
- Preferred: PMP, Prosci, Lean Six Sigma, Agile, or other relevant certifications.
- Strong judgment, professionalism, and discretion when handling sensitive or regulated information.
