About the role
The Administrative Assistant provides direct administrative and operational support to their assigned Division Director at DPC Services and reports to the Director of Business Operations. This role is responsible for ensuring efficient day-to-day operations, supporting communication and coordination across teams, and maintaining accurate documentation and reporting.
What you'll do
- Administrative Support
- Provide direct administrative support to assigned Division Director
- Manage calendars, schedule meetings, and coordinate appointments
- Prepare correspondence, reports, and internal communications
- Maintain organized digital and physical filing systems
- Assist with document preparation, including proposals, contracts, and reports
- Communication & Coordination
- Serve as a point of contact between the Division Director and internal teams
- Coordinate communication between field staff, office staff, and leadership
- Handle incoming calls, emails, and requests, routing as appropriate
- Ensure timely follow-up on action items and outstanding requests
- Operational Support
- Assist with tracking service requests, work orders, and project updates
- Support scheduling coordination with dispatch and field teams
- Monitor and update internal systems (e.g., ServiceTitan, HRIS, or project tracking tools)
- Assist in maintaining accurate job documentation and records
- Reporting & Data Management
- Compile and maintain reports related to division performance, job status, and operational metrics
- Track key data points such as job completion, service timelines, and outstanding items
- Assist in preparing reports for leadership meetings
- Financial and Administrative Coordination
- Support billing and invoicing processes as needed
- Track purchase orders, receipts, and vendor documentation
- Assist with expense tracking and documentation for the division
- Compliance & Documentation
- Ensure documentation is complete, accurate, and stored in accordance with company standards
- Assist with maintaining compliance records, permits, and required documentation
- Support audit preparation by organizing and retrieving documentation
- General Office Support
- Assist with onboarding coordination for new division employees
- Support internal meetings, including agenda preparation and note-taking
- Provide general administrative support as needed to ensure smooth division operations
