This role is an entry point into project management within a fast-moving creative technology environment focused on building immersive digital experiences. You will support the delivery of complex, multi-disciplinary projects spanning design, engineering, and emerging technologies such as AI, AR/MR, and interactive platforms. Working closely with project managers and operations leadership, you will help ensure that day-to-day execution runs smoothly across multiple concurrent engagements. The role combines coordination, communication, and operational rigor to keep teams aligned and workstreams on track. You will also contribute to internal initiatives that improve processes and overall delivery efficiency. - Support Project Managers and Senior Project Managers in the coordination and execution of client projects, including scheduling, meeting organization, note-taking, and follow-up tracking.
- Maintain accurate project data and documentation within project management tools such as ClickUp, ensuring tasks, timelines, owners, and statuses are up to date.
- Coordinate cross-functional workflows across design, engineering, QA, and account teams to ensure smooth project progression and timely delivery.
- Assist in preparing meeting agendas, status reports, action item summaries, and client-facing communications.
- Support resource planning and utilization tracking, including time tracking oversight and identification of scheduling conflicts or gaps.
- Manage administrative aspects of vendor and contractor invoicing, including review, approval routing, and coordination with finance teams.
- Provide coordination support for internal initiatives and operational improvements, contributing to broader team efficiency.
- Proactively manage workload priorities, flag risks or blockers early, and support operational leadership on special projects as needed.
- Build strong internal relationships across teams, with increasing exposure to external stakeholders over time.
- 1–3 years of experience in project coordination, project management, production, or a related role in a creative, digital, or technology-driven environment.
- Exposure to agency, studio, or in-house production environments is strongly preferred, though not required.
- Strong digital and technical literacy with the ability to understand how digital products and interactive experiences are built at a high level.
- Excellent organizational skills with the ability to manage multiple projects, tasks, and priorities simultaneously.
- Strong written and verbal communication skills, with the ability to translate operational details into clear updates for teams.
- Proactive, self-directed approach with the ability to anticipate needs, surface blockers, and manage shifting priorities.
- Comfort working in a fast-paced, deadline-driven environment with evolving requirements and ambiguity.
- Familiarity with tools such as ClickUp, Google Workspace, Slack, Box, or similar platforms, or ability to learn quickly.
- Bachelor’s degree in Business, Communications, Project Management, Production, or a related field, or equivalent experience.
- Interest in developing a long-term career in project management within a creative technology or digital production environment.
- Salary range of $60,000–$75,000, plus eligibility for an annual discretionary bonus.
