Design Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Design Coordinator based in Spain.

As a Design Coordinator, you will play a key role in enabling efficient collaboration, planning, and execution across a multidisciplinary design organization. You will manage cross-team workflows, align priorities, track dependencies, and create operational frameworks that help teams deliver high-quality work at scale. Working closely with designers, product teams, business stakeholders, and leadership, you will bring structure to complex initiatives while maintaining flexibility and agility. This role offers the opportunity to improve design operations, optimize processes, and contribute to a culture focused on innovation, transparency, and continuous improvement within a fully remote environment.

Accountabilities
  • Manage end-to-end coordination of design initiatives, acting as the central point of contact for incoming requests and ensuring smooth delivery from concept to release.
  • Coordinate cross-functional workflows, aligning team roadmaps, priorities, resources, and timelines while identifying potential conflicts or delivery risks.
  • Facilitate communication between business stakeholders and design teams by aligning scope, priorities, expectations, and project requirements before execution begins.
  • Establish and improve coordination frameworks, including processes for managing cross-team dependencies, escalations, and operational challenges.
  • Maintain visibility into project progress through status meetings, reporting structures, documentation, and leadership updates.
  • Analyze existing workflows to identify bottlenecks and implement practical improvements that increase team efficiency without unnecessary bureaucracy.
  • Develop and maintain operational documentation, including RACI frameworks, process guidelines, and tracking systems.
  • Support capacity planning by monitoring team workload, identifying resource risks, and helping ensure priorities align with available capabilities.
  • Provide portfolio-level visibility into project health, risks, dependencies, and delivery status for leadership teams.
  • Support the adoption of new coordination processes and help teams adapt to evolving ways of working.
Requirements
  • 2–4 years of experience in project coordination, program management, design operations, or a similar cross-functional role.
  • Bachelor’s degree in Design, Business, Project Management, or a related field, or equivalent practical experience.
  • Experience working in matrix organizations with multiple stakeholders and complex cross-functional collaboration.
  • Understanding of design workflows and the ability to communicate effectively with different design disciplines.
  • Proven experience building roadmaps, tracking risks, and managing dependencies across multiple teams.
  • Strong proficiency with Jira, including epics, project planning, ticket relationships, and workflow management, as well as Confluence.
  • Practical experience implementing and maintaining RACI frameworks.
  • Experience leading status meetings, preparing reports, and communicating updates to leadership.
  • Strong communication skills with the ability to manage both executive-level reporting and operational alignment with teams.
  • Experience facilitating discussions, resolving conflicts, and supporting cross-team alignment.
  • Ability to manage scope effectively by balancing quality expectations with business constraints and delivery timelines.
  • Experience supporting change management initiatives and introducing new processes within teams.
  • Previous experience in design, research, copywriting, marketing, consulting, branding, or related fields is considered an advantage.
  • Familiarity with design processes such as discovery, handoffs, and design reviews, as well as Agile/Scrum methodologies, is a plus.
