Job Description
Position Summary
This position provides administrative and operational support to the Operations and Safety department by evaluating driver performance and aiding in safety investigations. The Safety Coordinator assists in coaching and retraining programs focused on Pre-Trip Inspections, load securement, and Hours of Service compliance, while supporting the implementation of corrective actions for both new hires and existing drivers.
The position is responsible for identifying potential root causes of load shifts, failed roadside inspections, Hours of service violations, and other safety-related events. The Safety Coordinator assists the Safety team in developing appropriate corrective actions, monitoring the effectiveness of driver coaching, and escalating recurring or significant safety concerns.
This position requires strong attention to detail, analytical ability, effective communication, and the ability to work with drivers and internal teams in situations involving safety, compliance, and performance concerns.
Key Responsibilities
A. Safety Investigations & Root Cause Analysis- Investigate load shifts, failed roadside inspections, Hours of service concerns, and other assigned safety-related events.
- Gather and review relevant information, documentation, photographs, inspection reports, driver statements, and available operational data.
- Identify potential root causes and contributing factors.
- Distinguish between training, procedural, equipment, operational, and driver-related contributing factors when applicable.
- Prepare clear documentation of investigation findings.
- Escalate significant, repeated, or unresolved safety concerns to the Operations & Safety Manager or designated Safety Team Lead.
- Track corrective actions resulting from investigations and follow up as directed.
- Maintain accurate and organized investigation records.
- Assist the Safety team with driver coaching related to safety, compliance, and performance concerns.
- Support coaching sessions by gathering relevant documentation and performance information.
- Assist with retraining recommendations based on identified performance deficiencies.
- Monitor the effectiveness of coaching and retraining efforts.
- Identify recurring issues or lack of improvement and escalate them to the appropriate Safety or Operations leadership.
- Assist with driver termination processes when directed and in accordance with company procedures.
- Maintain appropriate confidentiality when handling driver performance and disciplinary information.
- Monitor driver ETAs related to scheduled coaching, retraining, investigations, and other Safety activities.
- Communicate with appropriate departments regarding driver arrival status and schedule changes.
- Identify delays or missed appointments that may affect scheduled safety activities.
- Coordinate with the Safety and Operations teams to maintain an efficient flow of drivers through required coaching, retraining, and corrective actions.
- Follow up with drivers and internal personnel as needed to confirm attendance and completion.
- Monitor assigned driver safety performance and identify trends or recurring concerns.
- Review available safety information to assist the Safety team in identifying potential risks.
- Track completion and effectiveness of coaching and retraining activities.
- Escalate continued performance deficiencies or safety concerns.
- Assist in maintaining accurate safety-related records and reports.
- Support continuous improvement initiatives within the Operations & Safety department.
- Communicate professionally and effectively with drivers, Operations, Safety, and Orientation personnel.
- Provide timely updates regarding investigations, coaching, retraining, and other assigned safety activities.
- Maintain a professional approach when dealing with sensitive or corrective matters.
- Support the Safety Coordinator, Orientation team, and Operations & Safety Manager as needed.
- Perform other duties and special projects assigned by the Safety Team Lead or Operations & Safety Manager.
Qualifications
Previous experience in transportation, safety, operations, compliance, or driver support preferred.
- Strong HOS knowledge.
- Flatbed load securement procedures preferred.
- Knowledge of commercial transportation safety practices preferred.
- Working knowledge of FMCSA regulations is preferred.
- Strong computer skills and ability to learn company systems.
- Strong verbal and written communication skills.
- Ability to analyze information and identify potential causes of safety-related events.
- Ability to work professionally with drivers and internal departments.
- Ability to handle confidential and sensitive information appropriately.
- Ability to prioritize multiple assignments and meet deadlines.
- Ability to work independently while supporting a team environment.
Working Conditions
This position operates in both indoor office and yard environment.
