Position Summary:

The Board Coordinator / Shareholder Relations Specialist provides administrative and clerical support to the President & CEO, Board of Directors (BOD), and Shareholder Relations department. This role focuses on coordination, recordkeeping, and customer service, serving as a primary point of contact for Shareholders and the public while supporting the delivery of Shareholder programs and communications.

Duties/Responsibilities:

  • Coordinate logistics for Board and committee meetings, including scheduling, preparing materials, and distributing board packets.
  • Record and transcribe meeting minutes and maintain attendance and official records.
  • Maintain organized and confidential filing systems for Board documents, corporate records, and governance materials.
  • Assist in maintaining corporate records such as resolutions, licenses, and legal documents.
  • Serve as a first point of contact for Shareholders, tenants, and the public; respond to inquiries and route requests as appropriate.
  • Maintain and update the Shareholder database, ensuring accuracy of contact and stock information.
  • Provide administrative support for Shareholder stock processes, including transfers, inheritance documentation, and issuance of certificates and ID cards.
  • Assist with coordination of Shareholder programs, including internships, scholarships, and outreach activities.
  • Support planning and execution of Shareholder meetings, events, and communications (newsletters, mailings, website updates, social media).
  • Provide general administrative support, data entry, and filing.
  • Maintain strict confidentiality of all sensitive information.
  • May require occasional travel.
  • Perform other duties as assigned.

Minimum Requirements:

  • High school diploma or equivalent required; Associate's degree - preferred.
  • 1-3 years of administrative or office support experience.
  • Strong organizational and time management skills.
  • Experience working with Alaska Native Corporations or in a Shareholder-focused environment.
  • Ability to maintain confidentiality and handle sensitive information.
  • Familiarity with recordkeeping, databases, or office coordination.
  • Understanding of Iñupiat culture and community values.
  • Proficiency in Microsoft Office Suite and general office systems.
  • Strong communication and customer service skills.

Working Environment:

The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is a fast paced multi-tasking environment requiring regular attendance of a 40 hour work week. Work may require occasional overtime.

  • Must be able to stand for prolonged amounts of time in front of a computer.
  • May lift up to 25lbs.
  • Entering text or data into a computer or other machine by means of a keyboard.
  • Holding and grasping to review paper documents and to file documents in filing cabinets.
  • May bend or stoop to retrieve inventory to place in aisle .
  • Ability to communicate orally and/or via email.
