Position Overview:
The Logistics Coordinator for Ecoservices in Portland, OR is responsible for supporting daily plant operations through administrative, logistics, procurement, billing, inventory, production reporting, and customer service activities. This position serves as a key resource for maintaining accurate records, coordinating shipments and raw material deliveries, supporting plant personnel, and ensuring efficient administrative processes while helping the site achieve its operational and safety objectives. The scheduled hours for this position are 6:00 a.m. to 2:30 p.m., Monday through Friday, with shared weekend on-call responsibilities.
What You Will Be Doing:
- Plan, schedule, monitor, bill, and review daily trucking activities utilizing SAP
- Coordinate daily loading and unloading schedules based on customer orders and production requirements
- Review daily delivery schedules with plant management and operations teams
- Resolve customer, carrier, and vendor inquiries regarding shipping and receiving activities
- Maintain spreadsheets and records related to deliveries, inventories, maintenance activities, and supply chain operations
- Manage customer and corporate communications and provide administrative support as needed
- Support customer service activities and resolve issues in a timely and professional manner
- Perform month-end shipping, receiving, and production reconciliation activities
- Process product billing and ensure timely confirmation and reconciliation of invoices
- Audit shipping, receiving, and billing documentation for accuracy and completeness
- Perform data entry for production, shipments, inventories, tank levels, and operational reporting
- Coordinate procurement activities, including purchase requisitions, purchase orders, and receipt of materials and supplies
- Plan, order, and receive raw materials to support production requirements
- Process employee timecards utilizing ADP and maintain employee records
- Support plant-level Human Resources activities, including onboarding, benefits administration, and return-to-work coordination
- Assist with Health, Safety, Environmental, and Security activities, including maintaining records and coordinating employee physicals
- Support basic site IT coordination activities involving computers, monitors, servers, and related equipment
- Monitor and coordinate visitor, vendor, and contractor access to the plant
- Maintain organized and secure filing systems and employee emergency contact information
- Coordinate employee engagement events, plant meetings, training sessions, holiday functions, and wellness initiatives
- Perform accounts payable duties, including invoice processing, company credit card reconciliations, and check requests
- Participate in production meetings, audits, compliance initiatives, and continuous improvement activities
- Support, promote, and enforce HSES policies, procedures, and compliance requirements
- Participate in shared on-call coverage as required
Required Qualifications:
- High School Diploma or GED required
- Four or more years of administrative experience in a manufacturing, industrial, chemical, refinery, or related environment
- Experience supporting logistics, shipping, receiving, inventory, billing, procurement, or plant operations activities
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint
- Experience with SAP, ADP, or similar enterprise business systems preferred
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Strong data entry, recordkeeping, and documentation skills
- Basic math, reading, and writing skills
- Excellent verbal and written communication skills
- Strong customer service and interpersonal skills
- Ability to work independently and collaboratively in a fast-paced operational environment
- Demonstrated attention to detail and commitment to accuracy
- Understanding of safe work practices and commitment to maintaining a strong safety culture
- Ability to support on-call responsibilities as needed
Preferred Qualifications:
- Experience in chemical manufacturing, industrial operations, or process manufacturing environments
- Experience with accounts payable, procurement, inventory control, and production reporting
- Experience with SAP and ADP systems
- Experience supporting Human Resources, Safety, or Operations functions at a plant site
- Familiarity with HSES programs, compliance requirements, and audit activities
