Our Location:

Our Dallas Fulfillment Center is state of the art Embroidery and Distribution, located in Grand Prairie! We have built a new Automated Storage & Retrieval System (AutoStore) and our Embroidery operations are climate controlled!

Job Vision:

The Administrative Coordinator is responsible for the onsite daily logistics, administrative and internal support services functions for our Dallas Fulfillment Center (DFC) located in Grand Prairie, Texas. This position will provide point of contact for Showroom events, corporate meetings, customer events & tours. The Admin Coordinator is a critical role providing varied support to our new facility.

Essential Functions:

Facilities & Office Administration:

  1. Functions as the primary onsite contact with vendors to coordinate services, supplies, maintenance and repairs relating to the following:
  • Food and beverage services and supplies – coffee, filtered water, vending and ice machines etc.
  1. Moderate the scheduling of conference rooms through MS Outlook.
  2. Create Purchase Orders (POs) and process invoices through Concur for procurement of DFC non-inventory supplies.
  1. Responsible for maintaining the cleanliness of the kitchen, break areas, and conference rooms to include:
  • Maintains an orderly and attractive office environment (reception area displays, hallway art, etc.).
  • Kitchen supplies are well stocked – vending items, paper towels, utensils, cleaning supplies, etc.
  • Conference rooms are stocked with white board supplies, internet cables, etc.
  1. Maintain employee communication boards, including HR board, safety board and other tools.
  2. Accountable for general office supplies for the DFC.
  • Maintains office supply depots, monitor office supply levels and order as needed.
  • Excess supplies are managed and reused to minimize unnecessary expenses when placing orders.
  • Organizes the mailroom, and sorts and distributes incoming mail and packages.
    • Accountable for overseeing mail/courier services in office and with departments.
  • Assists in outbound shipment of mail and packages as needed.
  1. Facilitates the business stationary, business cards development and ordering for building.
  2. Serve as a proficient backup for Facilities Manager and/or Operations Manager.
  3. Provides support on various administrative projects as assigned.

Safety Committee Secretary:

As a permanent role on the DFC Safety Committee, the Admin Coordinator functions as the Secretary of the Safety Committee. Promotes and encourages safe practices as well as following administrative duties:

Support the Committee with administrative items including, but not limited to scheduling, agenda distribution, communications, taking meeting minutes, making Safety Raffle purchases, coordinating postings and signage of the Safety Board.

  • Fire extinguisher inspections across the building.
  • Purchase supplies, rewards and other needs of the Safety Committee
  • Audit remediation as needed

Event Support:

  1. Working closely with management teams in event coordination and support. Coordinates with meeting/event sponsors to ensure successful onsite meetings, tours and employee events. Identify, reserve, obtain approval for events onsite at DFC. Provide event information to onsite and other staff.
  2. Maintain good communications by attending warehouse meetings and interacting with Operations, Logistics, Customer Service, Human Resources, customers and employees.

Knowledge, Skills and Abilities:

  • Previous experience as an Office Assistant, Admin Assistant or equivalent role required.
  • Proficient with Microsoft Office tools such as Outlook, Word, Excel and Power Point/Canva.
  • Demonstrated effective interpersonal skills, professionally collaborating across organizational boundaries.
  • Demonstrated effective verbal and written communication skills.
  • Able to effectively and professionally represent the company with outside vendors.
  • Ability to work creatively in a collaborative environment as well as the ability to work independently.
  • Demonstrated creative problem solver with ability to make decisions.
  • Ability to think analytically and plan strategically to the needs of the business.
  • Extremely organized and detail oriented
  • High level of integrity and able to appropriately handle confidential information
  • Supportive, positive, customer service oriented attitude and style
  • Strong organizational skills necessary to handle multiple tasks and complete them within deadlines.

Education and Experience:

  • High school diploma or equivalent.
  • Minimum two years office administration experience.
  • Previous experience coordinating and managing outside vendors with regards to office administration and/or facilities required.
  • Highly proficient with MS Outlook, Teams, SharePoint, Excel and Concur.
