Job Description
Longacre Asset Management is seeking a detail-driven Violations Coordinator to lead compliance and violation resolution across our residential apartment portfolio in New York City. This role sits at the center of our property management operation — tracking every open violation from issuance to closure, keeping our buildings compliant with NYC agency requirements, and protecting the portfolio from fines, litigation, and reputational risk. This is a hands-on, high-volume role suited to someone who thrives on organization, knows the city's regulatory landscape, and can move confidently between spreadsheets, agency portals, and hearing rooms.
Requirements: What You'll Do• Own the day-to-day tracking of all open violations across the residential portfolio, including HPD, DOB, ECB/OATH, FDNY, DEP, and DOHMH matters, from issuance through cure and dismissal.
• Monitor DOB NOW, HPD Online, and ECB/OATH e-filing portals daily to identify new violations, verify their accuracy, and flag or dispute erroneous filings.
• Maintain a live violations dashboard for each property, reporting open, aged, and resolved items to senior management and ownership on a regular cadence.
• Coordinate corrective action with property managers, superintendents, and vendors to cure violations quickly and prevent recurrence.
• Calendar and manage all hearing dates; prepare documentation for and, where appropriate, represent the company at ECB/OATH hearings, or coordinate outside counsel and expediters when needed.
• Track recurring compliance filings and inspection cycles — boiler and elevator inspections, Local Law 11/97/126 filings, window guard and lead-based paint notices, smoke/CO detector and bed bug filings — to keep properties ahead of violations rather than reacting to them.
• Serve as the primary point of contact with violation-removal expediters, legal counsel, and city agency personnel on active matters.
• Maintain organized, audit-ready records and correspondence files for each property's violation and certification history.
• Partner with the property management and asset management teams to identify patterns in recurring violations and recommend process improvements.
What We're Looking For• 3+ years of experience in NYC residential property management, compliance, violations processing, or expediting.
• Working knowledge of HPD, DOB, ECB/OATH, FDNY, DEP, and DOHMH violation types, cure procedures, and hearing processes.
• Hands-on familiarity with DOB NOW, HPD Online, and ECB/OATH e-filing systems.
• Understanding of NYC Local Law compliance requirements (e.g., LL11, LL97/84, LL126) as they relate to violation exposure.
• Exceptional organizational skills and the ability to manage a high volume of violations across multiple properties simultaneously without losing track of deadlines.
• Strong written and verbal communication skills; comfortable corresponding with agencies, vendors, counsel, and internal stakeholders.
• Proficiency in Microsoft Excel and Office; experience with a property management platform (e.g., Yardi, AppFolio, MRI, RealPage) is a plus.
• A self-starter who can prioritize independently and stay calm under a steady stream of deadlines.
Preferred Qualifications• Bachelor's degree, or equivalent hands-on experience in lieu of a degree.
• Prior experience with a NYC multifamily property management company, ownership group, or expediting firm.
• Existing working relationships with NYC agency staff, expediters, or violation-removal counsel.
