How You’ll Make an Impact:
You will provide high-level administrative, communication, and project support to the Vice President of Community Care. Develop and maintain a system of organization that supports the day-to -day operations of the Community Care Department; Oversee complex and confidential administrative procedures and processes for the Department.
In this Role, you will:
· Assist Community Care Leadership with the development, implementation, and monitoring of operational, administrative, and programmatic processes and activities related to member supports.
· Lead in planning the Community Care major events (Christmas Party and Summer Picnic) and facilitate the planning of all other Community Care special events.
· Participate in strategic planning meetings and other committees as needed (track project timelines, follow-up on action items, prepare status reports).
· Prepare agendas and meeting materials, take meeting notes, and document follow-up tasks during department meetings.
· Serve as primary contact between Departmental staff and external stakeholders.
· Create, maintain, and regularly update Community Care member files, ensuring compliance with applicable federal, state, COA, and DCFS regulations.
· Partner with Residential and Admissions coworkers to maintain former youth files and respond to former youth file requests.
· Assist with implementation of the Agency’s database system and regularly monitor its entries, run data exports, and complete documentation audits.
· Assist coworkers with organization and completion of paperwork, including but not limited to, member and program documentation and filing.
· Create, update and maintain systems of organizations as needed (ie. budget tracking, bus card usage, publicity releases, consent forms, and ROIs, etc.)
· Maintain copies of regularly used paperwork (i.e. informed consent, bill of rights, consent for release of information, check requests, etc.).
· Maintain and manage overall order, cleanliness, and attractiveness of the Department including organization of the donation and supply closets.
· Manage and track the distribution of Community Care donations.
· Coordinate paperwork with outside agencies, organizations, and people (i.e. file request, MOUs, etc.).
· Maintain updated Community Care member mailing lists.
· Be responsible for forwarding mail to Community Care members and overall mailing system.
· Oversee Department operations and supplies (ie. Food orders, office supplies, etc.).
· Assist with departmental budget monitoring (ie. Track expenses, invoices, petty cash).
· Assist in the development, achievement, and assessment of department QI goals, meeting agendas, and processes.
· Oversee all aspects of the Mercy Home Storage Project for youth with housing instability.
· Be responsible for handling general office calls in a warm manner and connecting the members with the appropriate intake staff or other team member.
· Maintain an Agency resource list, Community Care brochure, and other promotional materials.
· Assist in the preparation of communications to Agency staff and community members on matters of the Community Partnership activities, including agendas, meeting notes, acknowledgement letters, and relevant information and/or events.
· Assist in the maintenance and implementation of the department’s policy and procedure manual.
· Reserve meetings rooms for trainings, workshops, meetings and events.
· Ensure compliance with departmental objectives, Agency mission, DCFS policies and COA guidelines.
What we need from you:
· Bachelor’s degree or equivalent experience.
· At least 3 years of prior office and clerical experience.
· Excellent interpersonal, oral, and written communication skills.
· Detail-oriented.
· Ability to manage multiple projects.
· Ability to meet deadlines promptly.
· Proficiency in Microsoft Word, Excel, and Outlook, as well as the ability to become proficient in other software packages and programs.
· A valid Illinois driver's license, ability to drive a van, maintain a clear driving record, and retain driving approval through the Department of Children and Family Services.
· Comfortable with numbers and performing simple statistical analysis.
· Ability to maintain confidentiality.
· Ability to work both independently and as an active team member.
· Ability to maintain a professional demeanor while exercising judgment and discretion in work.
· Ability to follow oral and written instructions.
· Maturity and sensitivity to cultural and individual differences.
· Ability to attend required Agency trainings and maintain necessary training compliance, including flexibility to attend daytime trainings or sessions outside of regularly scheduled hours.

· Regular and predictable attendance.
Basic Information / Schedule Details
Monday to Friday: 8am to 5pm and occasional Saturdays throughout the year for events.
Pay: $25 to $28 Hourly, Full-Time
