Responsibilities
Administratively manages shipments from the plants
- Organize transportation (ocean, air and rail freight – domestic/export) with the customer, including quotations, updating customer orders with transportation freight, and obtaining customer agreement.
- Review and approve shipping invoices and manage the shipping claims process.
- Communicate/provide the warehouse with the required customer documentation/shipping specifications for shipments and any special requirements for production.
- Communicate pallet specifications to Production based on the mode of transportation.
- Communicate the information required for orders to Production Planning.
- Coordinate transportation activities with internal and external customers, including tracking and tracing where applicable. Work with Procurement, Shipping, Customer Service and other MSA departments as required.
- Ensure that all transportation-related issues are resolved and communicated appropriately. Interact with carriers to resolve issues and improve efficiency.
- Develop transportation processes to efficiently move and deliver products in line with customer expectations. Use analytical capabilities to identify ways to reduce transportation costs while maintaining service levels.
- Support international freight movements (cross-trade).
Manages export compliance
- Maintain HS commodity codes, country of origin and preferential status classifications in MSA systems (SAP) and proactively update relevant business partners with this information.
- Act as an intermediary between Customs, internal departments and MSA business partners. Handle relevant questions, issues and requests as part of daily activities and during internal and external audits, including:
- HS commodity code and country of origin for inbound transactions.
- Review and action requests concerning the accuracy of customs declarations made by customs brokers and freight forwarders.
- Consolidation of all relevant customs documentation by case.
- Review and compliant validation of export-control sales orders.
- Reporting relevant export transactions to export-control authorities.
- Responding to inquiries regarding the export-control status of products and orders.
- Creating and issuing Supplier Declarations.
- Maintaining export-control data in MSA ERP systems (SAP).
- Create and promote awareness of export-control and customs processes among internal stakeholders by providing concise updates on changes to laws, regulations and relevant data, as well as regular training for relevant MSA employees, new hires and business partners.
- Participate in the review and creation of relevant policies.
- Coordinate inspections related to French public contracts.
- Prepare export documentation to be approved by the French Chamber of Commerce and request legalization of documents from the Chamber of Commerce.
- Ensure that export license verification is performed locally (customs control) for specific orders once the order has been entered.
- Apply for licenses from the French government/customs authorities for applicable orders.
- Complete French government reporting twice a year and archive documentation for audit purposes.
- Check embargo requirements for shipments originating from France.
- Define commodity codes and country of origin and update this information in the product database in SAP.
- Complete physical documentation in accordance with customs requirements (to be completed by French MSA T&ES associates) to ensure compliance.
- Verify proof of export (EXA) and validate carrier invoices against the quotation.
- Manage Moroccan orders for consumables and tools and the documentation required for shipments.
- Prepare the weekly Proforma Invoice for Morocco.
Qualifications
- Professional training / education in trade and customs compliance, or relevant professional experience.
- Experience working with CRM systems and SAP.
- Commercial / sales experience.
