Position Summary

We are seeking a detail-oriented and motivated Construction Program Assistant to support a major VA healthcare construction program in West Haven, Connecticut. This role will support ground-up construction, recovery, and renovation efforts for a hospital facility.

The Construction Program Assistant will work closely with the Program Manager, construction team, and VA stakeholders to provide administrative, analytical, and coordination support across all phases of the project—from planning through construction and closeout. This role is essential in ensuring smooth program operations, accurate reporting, and effective communication among all project stakeholders.

Key Responsibilities

The Program Assistant will support the project team and act as a key administrative and coordination resource throughout the lifecycle of the program. Responsibilities include:

  • Assist in tracking and monitoring project budgets, financial data, and cost trends
  • Support review and coordination of construction schedules and progress updates
  • Attend project meetings, capture notes, and assist with follow-up actions
  • Maintain and organize project documentation, reports, and correspondence
  • Support quality assurance and compliance tracking, including inspections and testing documentation
  • Assist with change management processes, contract documentation, and administrative support
  • Track project deliverables, milestones, and reporting requirements
  • Prepare reports, presentations, and program status updates for leadership
  • Maintain databases, logs, and tracking tools to support program oversight
  • Coordinate communication between project stakeholders, including client representatives, contractors, and consultants

Education & Experience

Education

  • Bachelor’s degree in Construction Management, Business Administration, Engineering, or a related field preferred
  • Equivalent experience may be considered in lieu of a degree

Experience

  • Minimum of five (5) years of experience in project coordination, program support, construction administration, or a related role
  • Experience supporting healthcare, federal, or institutional projects is highly desirable
  • Familiarity with construction documentation and project workflows is a plus

Additional Requirements

  • Strong organizational and multitasking skills with attention to detail
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe Acrobat
  • Ability to manage multiple priorities and meet deadlines
  • Strong written and verbal communication skills
  • Basic understanding of construction processes, scheduling, and documentation

Preferred Qualifications

  • Experience supporting large-scale construction or renovation projects
  • Familiarity with federal or VA project requirements
  • Experience with project management or document control systems
  • Ability to work effectively within a team-oriented environment

Work Environment & Physical Requirements

  • Full-time onsite work at an active construction site and office environment
  • Ability to sit, stand, walk, and use standard office equipment

The pay range for this role is:
60,000 - 80,000 USD per year(West Haven, CT)
