Job Description
Job Summary:
The Arbitration Manager plays a critical role in ensuring fair, accurate, and timely resolution of vehicle arbitration claims. This position requires strong automotive knowledge, sound judgment, and excellent negotiation skills to protect the integrity of auction transactions while maintaining positive relationships with buyers, sellers, and internal stakeholders. The Arbitration Manager works in a fast-paced, high-volume environment where attention to detail and customer service are essential.
Supervisory Responsibilities:
- Supervises, coaches, and supports Arbitration Specialists to ensure consistent application of arbitration standards and policies.
- Ensures timely resolution of arbitration claims in a high-volume environment.
- Reviews arbitration decisions and documentation for accuracy, consistency, and quality control.
Duties/Responsibilities:
- Manages, investigates, and resolves vehicle arbitration claims efficiently and fairly in accordance with auction policies, industry standards, and applicable guidelines.
- Collaborates with buyers, sellers, inspectors, and internal departments to achieve timely and accurate dispute resolutions.
- Interprets vehicle condition reports, inspection data, and auction policies, including NAAA arbitration standards.
- Maintains complete, accurate, and timely documentation of arbitration activities in the AS400 system and prepares reports as needed.
- Negotiates resolutions with a focus on keeping vehicles sold when appropriate.
- Coordinates reruns, third-party inspections, and vehicle location efforts as part of the arbitration process.
- Processes selling light adjustments and price changes through AS400.
- Communicates arbitration decisions clearly and professionally to all involved parties.
- Performs other duties as assigned.
Required Skills/Abilities:
- Strong working knowledge of automotive systems, including mechanical, body, and frame components.
- Familiarity with industry standards and arbitration guidelines, including NAAA standards, strongly preferred.
- Proven negotiation, conflict resolution, and customer service skills.
- Ability to lead and motivate a team while working effectively under pressure in a fast-paced, high-volume environment.
- Highly organized, self-motivated, and able to balance leadership responsibilities with hands-on case management.
- Proficient in computer systems; experience with AS400 strongly preferred.
- Fluent in English, both written and spoken.
- Must be at least 18 years of age.
Education and Experience:
- High School Diploma or equivalent required.
- Additional education or training in automotive or business fields is a plus.
- 2+ years of experience in vehicle arbitration, inspections, or auto auction operations required.
- Prior leadership or supervisory experience preferred.
- Valid driver’s license required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 25 pounds at times.
