HR Services Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a HR Services Coordinator based in United States.

As an HR Services Coordinator, you will provide essential first-line HR support across day-to-day employee and leadership needs.
You will help maintain accurate employee records, coordinate onboarding activities, and support key HR processes throughout the employee lifecycle.
The role offers broad exposure to HR operations, HR systems, compliance, and employee services within a global organization.
You will collaborate closely with HR Business Partners and specialist teams to deliver consistent and effective HR support.
Your attention to detail and customer-focused approach will help ensure employees receive timely, accurate, and helpful guidance.
You will also contribute to HR projects, data audits, system improvements, and initiatives that strengthen operational efficiency.

Accountabilities
  • Provide first-line administrative and operational support to the U.S. HR function, responding promptly and professionally to employee and leadership inquiries.
  • Maintain accurate and up-to-date electronic personnel records and documentation in accordance with company policies, applicable legal requirements, and relevant U.S. legislation.
  • Partner with HR Business Partners and HR Centers of Expertise to support the effective delivery of HR processes and the broader HR operating model.
  • Coordinate onboarding activities, including offer letters and contracts, new-hire documentation, background screening, country-specific requirements, and new-employee orientation.
  • Assign and follow up on mandatory training through the HR learning management system, ensuring completion is properly tracked.
  • Provide first-line assistance and escalation support for HR systems, including resolving user issues and processing employee record changes within the HRIS.
  • Process new hires, job changes, employee departures, termination documentation, notifications, and other employee lifecycle transactions accurately and on time.
  • Respond to frequently asked HR questions and support a broad range of employee and departmental requests.
  • Prepare accurate management information and support HR data audits, reporting, policy development, program implementation, and other HR projects as required.
  • Stay informed about evolving global HR practices and contribute to continuous improvements in HR processes, systems, and service delivery.
Requirements
  • Initial professional experience within an HR department, HR shared services function, or similar HR operations environment.
  • Experience working with HRIS and payroll platforms, including maintaining employee records and processing employee lifecycle changes.
  • Experience providing system support to users, with exposure to system development, enhancement, or process improvement considered an advantage.
  • Strong Microsoft Office skills, particularly in Outlook, Word, PowerPoint, and Excel, with the ability to produce accurate business and management information.
  • Strong organizational and time-management abilities, with a proven capacity to prioritize multiple tasks and manage a complex workload without losing attention to detail.
  • Excellent analytical, problem-solving, and practical judgment skills, with the flexibility to respond effectively to changing priorities and situations.
  • A customer-focused mindset with strong listening, collaboration, communication, and follow-through skills.
  • Excellent written and verbal communication skills and the ability to work effectively with colleagues both independently and as part of a wider remote team.
  • Self-directed, proactive, adaptable, and comfortable operating in a fast-paced environment where priorities may change quickly.
