Job Description

We are seeking a friendly, professional, and highly organized Administrative Assistant / Receptionist to join our team. In this hybrid role, you will be the first point of contact for clients, visitors, and staff, ensuring smooth daily operations at the front desk while providing essential administrative support to the team.

Key Responsibilities

Receptionist Duties:

  • Great and welcome visitors with a professional, friendly demeanor.
  • Answer incoming phone calls, direct them appropriately, take messages, and provide basic information.
  • Maintain the front desk area, ensuring it remains organized, clean, and welcoming at all times.
  • Schedule and coordinate meetings, appointments, and conference room reservations.
  • Assist with visitor check-ins and provide guest passes when necessary.

Administrative roles:

  • Perform general clerical tasks, including filling, photocopying, and scanning documents.
  • Prepare and process incoming and outgoing mail, including packages and deliveries.
  • Oversee office supply and break room inventory and place orders as needed.
  • Assist with data entry and updating records in the company database.
  • Help schedule and coordinate internal and external meetings and events

General Office Support:

  • Maintain office appearance and ensure common areas are kept clean and organized.
  • Assist with special projects as directed by the administrative team or management.
  • Manage office and equipment, including troubleshooting minor technical issues.
  • Support team members with day-to-day administrative tasks as required.

Qualifications

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred)
  • Proven experience in a receptionist or administrative support roles is a plus.
  • Strong communication skills, both written and verbal.
  • Excellent organizational skills, both written and verbal.
  • Proficient with office software (Microsoft Office Suite, Google Workspace, etc.)
  • Ability to handle a multi-line phone system and manage multiple tasks simultaneously.
  • Professional demeanor and the ability to interact with clients, staff, and visitor courteously.

  • Reliable, punctual, and flexible with work hours as needed.

Work hours: Monday-Friday 8:00AM-5:00PM

*Spanish is a plus but not a requirement.
