About This Position
Job Summary:
The Executive Assistant & Board Liaison provides high-level administrative, operational, and governance support to the Chief Executive Officer and the Board of Directors. This role ensures the smooth functioning of executive operations, facilitates effective communication across senior leadership, and upholds the highest standards of confidentiality, professionalism, and regulatory compliance expected within the banking sector. The position requires exceptional judgment, organizational excellence, and the ability to manage complex, sensitive matters with discretion.

Duties/Responsibilities:
Executive Support
- Manage the CEO’s daily schedule, priorities, and travel arrangements with accuracy and foresight.
- Prepare executive correspondence, presentations, briefing materials, and reports for internal and external stakeholders.
- Coordinate cross-functional communication between the CEO, senior leadership, regulators, and external partners.
- Conduct research, compile data, and prepare documents to support strategic initiatives and decision-making.
- Maintain strict confidentiality regarding sensitive financial, personnel, and regulatory information.
Board Governance & Liaison Duties
- Serve as the primary administrative point of contact for the Board of Directors and Board Committees.
- Be the lead for Annual Shareholder meeting planning and execution of the event.
- Coordinate all aspects of board and committee meetings, including scheduling, agenda development, logistics, and secure distribution of materials.
- Prepare, edit, and maintain accurate meeting minutes in accordance with regulatory and corporate governance standards.
- Ensure compliance with applicable banking regulations, corporate bylaws, and governance policies related to board operations.
- Support director onboarding, training, evaluations, and ongoing governance documentation.
- Maintain the board portal and ensure timely posting of materials.
Operational & Administrative Leadership
- Oversee special projects and strategic initiatives as assigned by the CEO.
- Develop and refine administrative processes to enhance efficiency and executive workflow.
- Coordinate with Legal, Compliance, Finance, and HR teams to ensure alignment with institutional policies and regulatory requirements.
- Manage confidential records, contracts, and executive files with precision and compliance awareness.
- Represent the Executive Office with professionalism in interactions with employees, clients, regulators, and community partners.
- Be aware of and support the Bank’s efforts in meeting the Community Reinvestment Act (CRA).
- Other duties as assigned.

- Exceptional written and verbal communication skills.

- Strong analytical, organizational, and problem-solving abilities.
- Professional presence and ability to interact effectively with senior executives and directors.
- Ability to work extended hours during peak periods such as board cycles, regulatory deadlines, or executive initiatives.
- Commitment to maintaining confidentiality and adhering to all compliance and security protocols.
Education and Experience:
- Bachelor’s degree in Business Administration, Finance, Communications, or related field preferred.
- 3+ years of executive-level administrative experience, ideally within banking or financial services.
- Experience supporting a Board of Directors or senior governance body strongly preferred.
- Familiarity with regulatory frameworks such as FDIC, OCC, Federal Reserve, and state banking regulations.
