About This Position
The Office Administrator supports day‑to‑day administrative, systems, purchasing, Accounts Receivable, project coordination, and HSE system activities for the Red Flame Industries Acheson office. This role ensures efficient office operations, accurate system administration, and effective coordination with key operational teams.
BASIC FUNCTIONS
Provide centralized administrative and systems support for the Acheson office, working closely with the Leak Sealing Team, Mechanical Services, and Operations. Responsibilities include general office administration, SharePoint and document control, basic IT and access control, project administration, Accounts Receivable support, purchase requisition administration, asset management, and HSE system support.
POSITION REQUIREMENTS
- High School Diploma required; post‑secondary education in Business, Office Administration, Accounting, or IT is an asset
- 3–5 years of office administration or coordination experience, preferably in the oil & gas industry
- Proficient in Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint)
- Experience with purchase requisitions and Accounts Receivable administration
- Strong general IT aptitude and systems administration skills
- Experience with Streamline, Asset Management Systems (AMS), and iGoalZero is an asset
- Strong organizational, communication, and confidentiality skills
- Internal training requirements will be identified within the Red Flame Industries Training Matrix.

KEY RESPONSIBILITIES
Office & Administrative Support
- Support efficient daily office operations at the Acheson location
- Serve as point of contact for office communication and visitors
- Coordinate mail, couriers, supplies, onboarding, and offboarding
- Maintain organized administrative records and document control
SharePoint & Systems Administration
- Maintain SharePoint sites, document libraries, and filing standards
- Manage document version control and user access permissions
- Support staff with SharePoint and system use
IT Support & Access Control
- First point of contact for basic IT and system issues
- Coordinate with external IT support as required
- Manage system access onboarding/offboarding and permissions
Project Administration
- Provide administrative and document control support for projects
- Assist with project setup, tracking, and coordination
Accounts Receivable (Administrative Support Only)
- Support invoicing preparation, tracking, and distribution
- Maintain AR documentation and coordinate with the AR team
Purchase Requisition Administration
- Prepare and process purchase requisitions
- Track approvals and ensure compliance with authorization requirements
- Maintain requisition documentation and liaise with Operations and Accounting
Asset & HSE Systems
- Maintain and update the Asset Management System (AMS)
- Track company assets and support audits and reporting
- Support administration of iGoalZero, including incident documentation and HSE records
HEALTH & SAFETY
- Perform duties in compliance with Red Flame Industries Health & Safety policies
- Complete required safety training and support HSE initiatives
MEASUREMENT OF PERFORMANCE
Performance will be assessed based on:
- Accuracy and timeliness of administrative, AR, and purchasing support
- Effective maintenance of SharePoint, Streamline, AMS, and iGoalZero
- Proper management of system access and controls
- Contribution to efficient, compliant office operations
