Description:

Join our team as a Quality Department Coordinator in Toppenish, WA, where you'll manage a diverse range of administrative and clinical tasks to support our Quality and Compliance Departments. You'll handle sensitive information, coordinate schedules, and develop training materials. Additionally, you'll ensure vaccine and laboratory compliance, maintain office systems, and produce data reports. As a Quality Department Coordinator, your tasks will include:

Administrative support:

  • Processes sensitive information, documents and correspondence, and coordinates schedules.
  • Opens and date stamps incoming correspondence.
  • Screens telephone calls and responds as appropriate.
  • Secures travel arrangements and reimbursements.
  • Travels with assigned Senior Leader to various locations as needed.
  • Composes and compiles written correspondence, narratives, and reports as requested.
  • Attends various administrative and other meetings transcribes minutes.
  • Distributes transcribed minutes to the appropriate individuals in a timely manner.
  • Manages confidential and privileged information with discretion.
  • Abides by compliance requirements regarding accessing confidential information.
  • Provides administrative support to team members as needed.

Office Management:

  • Designs office systems to facilitate workflow.
  • Develops and maintains an accessible and updated filing system (electronic and paper).
  • Develops databases as required to facilitate information processing.
  • Coordinates the work of volunteer or intern support staff making assignments as needed, and supports other professional staff.
  • Produces quality department metrics, data reports, and dashboards as needed.
  • Serves as a liaison for clinic staff, clinicians, patients, representatives from outside agencies and members of the community.
  • Assists in maintaining and updating department content on First Source.
  • Assists in timely reviews of department-related plans, policies, procedures, forms and protocols.

Vaccine and Laboratory Compliance:

  • Partners with Employee Health staff to administer and document vaccines for employees and new hires.
  • Tracks vaccine and Tuberculosis (Tb) testing records.
  • Provides support for employee health and clinic outreach vaccination events.
  • Audits vaccination documentation and performs interval data collection for vaccine reporting to outside agencies.
  • Assists in tracking employee compliance after communicable disease exposure.
  • Partners with Lab/POCT supervisors to ensure appropriate reporting is provided and supply inventory is maintained.
  • Assists in the evaluation and monitoring of lab contract compliance regarding POCT .
  • Manages timely and accurate Clinical Laboratory Improvement Amendments (CLIA) regulatory licenses for new sites and ongoing renewals.

Instructional Design:

  • Designs, develops, and implements training materials for the LMS using the principals of A.D.D.E. (Assessment, Design, Develop, Evaluation).
  • Assessment: Clarifies instructional problems, establishes goals and objectives, and identifies the learning environment and the learner’s existing knowledge.
  • Approaches instructional design in a specific and systematic way. Each element of the instructional design plan is executed with attention to details in a logical and orderly method.
  • Develop: Creates and assembles the content assets that were outlined and prototyped in the design phase.
  • Evaluation: Analyzes data from LMS . Conducts formative evaluations during each stage of development.
  • Uses key principles of Project Management to assist discipline specific content owners in establishing appropriate methodologies and timelines for clinical training modules.
  • Responds to questions and concerns related to clinical training platform and coursework.

Minimum Qualifications:

  • Education: Associate’s degree in applied sciences or other healthcare field. Completion of an accredited Medical Assistant (MA) program, Registered Nurse (RN) degree, or Licensed Practical Nurse (LPN) degree.
  • Experience: Two years current clinical experience. Nursing experience in a medical setting preferred.
  • Professional Licenses/Certificates/Registration: Applicable WA medical licensure (MA-Certified, RN, or LPN) is required. Completion of Blood Borne Pathogen training within 30 days of hire.
  • Knowledge/Skills/Abilities; Bilingual (English/Spanish) preferred but not required. Must demonstrate the ability to communicate at level 10 on the language proficiency scale to receive bilingual differential pay. Current knowledge of sterilization techniques, blood borne pathogens, and vaccinations for preventable diseases. Knowledge of POCT, health care standards, and medical terminology. Effectively interacts with a variety of employees in a professional manner. Handles sensitive situations and confidential information with discretion. Skills to aggregate and analyze data. Highly organized with ability to multi-task. Strong attention to detail. Excellent verbal, written and listening communication skills. Works independently in a fast-paced, team-oriented environment. Effectively collaborates with medical professionals in a team framework that results in the best outcomes for patients. Proficiency with a variety of computer programs including Microsoft Outlook, Word, Excel and PowerPoint.
